Job Title: Clerk 261 - Special Education Department Salary: Consistent with the existing collective bargaining agreement salary schedule Reports to: Special Education Administrators HoursMonday - Friday, seven (7) hours/day Building: Administration Building PRIMARY PURPOSE:To provide clerical and administrative support to the Special Education Department, ensuring smooth operations and contributing to the successful delivery of services to students with special needs. DUTIES AND RESPONSIBILITIES:Administrative Support:Answer phone calls and respond to inquiries from parents, staff, and external agencies. Manage and track Para/PCA in-service hours and maintain accurate records. Upload documents into the IEP system from external agencies. Prepare, proofread, and format various documents, including letters, flyers, and meeting materials. Manage speech and language rosters and complete associated paperwork as designated by the SLP. Assist with organizing and compiling materials for the ESY program. Record Keeping & Documentation:Complete record requests from Social Security, outside agencies, and school districts. Track student transfers, including necessary special education documents and medical/dental records. Ensure proper documentation in the IEP system. Assist in completing NOREPs for related service providers. Support related service providers in maintaining required paperwork. Maintain and monitor related service caseloads. Track and assist in ordering testing materials and supplies for related service providers and school psychologists. Transportation and CoordinationManage transportation requests and ensure timely services. Develop and maintain rosters for transportation, special programs, related services, and ESY. Additional Support:Assist Special Education Administrators and Administrative Assistants with other tasks as assigned. Serve as ESY clerk backup clerk. REQUIREMENTSProficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Docs. Strong organizational skills with the ability to manage multiple tasks simultaneously. Excellent written and verbal communication skills. Ability to maintain confidentiality and handle sensitive information. Attention to detail in tracking and managing records and data. Ability to use fingers to pick up, feel, and grasp objects. Some stooping, bending, and twisting of the body required. Ability to lift and carry supplies and paper weighing no more than 20 lbs.
