Front Office Receptionist
We are seeking a friendly, organized, and dependable Front Office Receptionist to serve as the first point of contact for our home care agency. The ideal candidate will provide exceptional customer service to clients, caregivers, and visitors while supporting daily office operations, scheduling, and administrative tasks in a fast-paced healthcare environment.
Key Responsibilities
Front Desk & Customer Service
Greet clients, caregivers, families, and visitors in a professional and welcoming manner
Answer and direct incoming phone calls promptly and courteously
Respond to general inquiries and provide accurate information about agency services
Maintain a positive and professional front office atmosphere
Scheduling & Coordination
Assist with scheduling caregiver shifts and client appointments
Coordinate schedule changes, call-offs, and coverage as needed
Communicate schedules and updates clearly to caregivers and clients
Maintain accurate scheduling records in agency systems
Administrative & Office Support
Handle incoming and outgoing mail, including sorting, distributing, and preparing mail for pickup
Perform data entry, filing, and record maintenance (paper and electronic)
Maintain office supplies and notify management of inventory needs
Communication & Documentation
Maintain confidentiality of client and employee information in compliance with agency policies
Assist with preparing correspondence, reports, and basic office documents
Support office staff and management with general administrative duties
Qualifications
High school diploma or equivalent required
Previous receptionist or administrative experience preferred (healthcare or home care a plus)
Strong verbal and written communication skills
Excellent organizational and multitasking abilities
Proficiency in basic computer applications (Microsoft Office, email, scheduling systems)
Ability to work independently and as part of a team
Professional demeanor with a compassionate and customer-focused attitude
Physical & Work Requirements
Ability to sit, stand, and work at a desk for extended periods
Ability to operate standard office equipment (phone, copier, computer)
