Purchasing Coordinator
Innovative Computing Systems (ICS) is seeking a highly organized and detail-oriented Purchasing Coordinator to support the procurement of IT hardware, software, licensing, and related technology products. This is a non-technical, internal-facing role focused on sourcing products, managing vendor relationships, processing orders, and ensuring timely fulfillment.You will work closely with Sales, Account Managers, Engineers, and Project Managers to turn approved purchasing requests into successful orders while maintaining accuracy, cost efficiency, and excellent communication throughout the process.Key ResponsibilitiesPurchasing & ProcurementReview and process purchasing requests for hardware, software, licensing, and related technology products.Obtain and compare pricing, availability, and lead times from vendors and distributors.Select appropriate purchasing sources based on cost, availability, and delivery requirements.Create and manage Sales Orders, Purchase Orders, and purchasing records.Place orders and ensure accuracy of all purchasing documentation.Order Management & FulfillmentTrack open orders, shipments, delivery dates, and backorders.Coordinate with vendors to resolve pricing, shipping, fulfillment, and return issues.Communicate order status and updates to internal stakeholders.Manage RMAs, exchanges, and vendor-related follow-up activities.Vendor & Team CoordinationBuild and maintain professional relationships with vendors and distributors.Provide pricing, availability, and product information to internal teams.Support project-related purchasing needs and special sourcing requests.Maintain clear communication with both internal teams and external suppliers.Process ImprovementFollow established purchasing procedures and internal controls.Maintain accurate records within purchasing, CRM, ERP, PSA, and accounting systems.Identify opportunities to improve efficiency, accuracy, and purchasing workflows.QualificationsRequired2+ years of experience in purchasing, procurement, order processing, vendor coordination, sales operations, or similar roles.Strong organizational skills and attention to detail.Ability to manage multiple priorities in a fast-paced environment.Experience creating and processing Purchase Orders and related documentation.Strong verbal and written communication skills.Proficiency with Microsoft Office, particularly Outlook and Excel.Ability to work independently and follow tasks through to completion.Authorized to work in the United States.PreferredExperience purchasing IT hardware, software, or licensing.Experience with technology distributors, MSPs, VARs, or IT service providers.Familiarity with CRM, ERP, PSA, inventory, or accounting systems.Experience managing vendor relationships and resolving fulfillment issues.Core CompetenciesOrganization & Attention to DetailCommunication & Customer ServiceFollow-Through & AccountabilityProblem SolvingPrioritization & Time ManagementAdaptability & TeamworkAbout ICSInnovative Computing Systems is an established Managed Services Provider with over 35 years of success serving clients nationwide, with a strong focus on the legal industry.
