Database CoordinatorThe Database Coordinator plays a critical role in supporting the Houston Area Women's Center's fundraising and donor engagement efforts by ensuring the accuracy, integrity, and effective use of the donor database. This position is responsible for processing and recording all gifts, maintaining up-to-date donor records, generating reports and mailing lists, and producing timely acknowledgments and thank-you letters. Working primarily in Blackbaud's Raiser's Edge, the Database Coordinator serves as a key resource for development staff by providing reliable data and operational support.In addition to database and reporting responsibilities, the Database Coordinator manages donor-related inquiries received through the organization's development email accounts and responds to questions regarding donations, receipts, and acknowledgments. This role requires strong attention to detail, excellent customer service skills, and the ability to handle sensitive information with discretion. The Database Coordinator collaborates closely with development, finance, and communications teams to ensure accurate reporting, effective donor stewardship, and a positive donor experience.Work Schedule: Monday-Friday 8:00am to 5:00 p.m. Flexibility to work evenings and weekends as needed. Hybrid position with planned days in office.Compensation: $55,000 Annually. This salary is the target, and final salary will reflect experience, qualifications, and funding parameters, if applicable. Local Travel: Less than 10%.Key Responsibilities:Gift Processing & Data Management:Accurately enter and process all gifts, pledges, and payments into Raiser's Edge in a timely mannerEnsure compliance with internal policies related to gift entry, acknowledgment, and receiptingMaintain up-to-date and accurate donor records, including contact information, relationships, and giving historyPerform routine data cleanup, deduplication, and quality control to ensure database integrityReporting & List Management:Generate regular and ad hoc fundraising reports for development staff, leadership, and financeProduce mailing lists for appeals, events, email blasts, and stewardship communications, ensuring appropriate segmentation and exclusionsSupport campaign tracking and donor analysis through accurate reportingDonor Acknowledgments & Communications:Produce timely and accurate thank-you letters and tax receipts in coordination with the development teamAssist with donor recognition and stewardship mailings as neededInquiry Management:Monitor and respond to inquiries received through organizational development email addressesRespond to donor inquiries related to gifts, receipts, acknowledgments, and general donation questions in a professional and timely mannerCoordinate with development and finance staff to resolve donor questions or discrepanciesCollaboration & Support:Work closely with development, finance, and communications teams to ensure data accuracy and alignmentAssist with special projects, audits, and system updates as neededFollow best practices for data security, confidentiality, and donor privacy
