This role requires strong collaboration and communication with department personnel to ensure daily operational tasks are completed efficiently and accurately.Although the position is primarily administrative in nature, cross-training within the department is expected to ensure coverage when needed. Cross-training also supports professional growth and enhances overall departmental effectiveness.Essential FunctionsAnswer and direct incoming phone callsTrain in and utilize Prophesy and SAP systemsAssist with collections and carrier payment issuesComplete driver reimbursement sheetsMonitor and order office supplies (PO required for approval)Reconcile billing files weeklyCreate requisitions for purchase ordersProvide brokers and customers with Proof of Delivery (POD) documentationTrack company trucks dailyPerform data entry of load and customer informationComplete driver packetsProcess billing (scan, email, and mail invoices)Enter shipments into the Prophesy systemFile truck and trailer write-upsMonitor and restock driver suppliesTrack, trace, and update shipment statusAdditional DutiesEngage with vendors and driversAssist with resolving shipment or payment discrepanciesSupport production or plant activities as neededPerform other duties as assigned by managementPhysical RequirementsAbility to lift up to 20 lbsAbility to hear and speak clearly on the telephoneAbility to work under pressure in a fast-paced environmentAbility to move throughout the plant and assist with operational activities when necessaryQualificationsEnergetic self-starter with strong organizational skillsProficient in Microsoft Office (Word, Excel)Ability to learn transportation/shipping software systemsWillingness to participate in company-provided trainingWillingness to work evenings or overtime if requiredWillingness to travel overnight if requiredAbility to receive constructive feedback and maintain professionalismStrong commitment to customer service, teamwork, and quality standardsPositive attitude and strong work ethic
