General Job DescriptionWe are seeking a proactive, detail-oriented Administrative Assistant to support daily office and field operations. This role is critical in ensuring smooth communication and efficient workflow between office staff, field technicians, vendors, and subcontractors.The ideal candidate is organized, dependable, and able to manage multiple priorities in a fast-paced environment. This position will assist with technician scheduling, project coordination, and pre-construction calculations to help support project planning and office operations.ResponsibilitiesCoordinate and manage scheduling for field technicians and project staffAssist with pre-construction calculations and project documentationCommunicate with vendors, subcontractors, and field personnel regarding schedules and project needsMaintain project files, job documentation, and administrative recordsPrepare spreadsheets, reports, and administrative documentsSupport office operations including data entry, filing, and correspondenceUpdate scheduling systems and track project progressProvide administrative support to management and project teamsPerform other duties as assignedMinimum EducationNoneMinimum Years Of Experience0-2QualificationsSpecific QualificationsRequiredMinimum 1 year of administrative or receptionist experience, preferably in a fast-paced environmentProficiency in Microsoft Office Suite (Word, Excel, Outlook)Strong organizational skills and attention to detailAbility to manage multiple priorities and meet deadlinesStrong verbal and written communication skillsAbility to read, write, and speak English fluentlyPreferredBilingual (English/Spanish) a plusExperience in construction, HVAC, electrical, or skilled trades environmentsExperience with Microsoft Dynamics is a plusWork EnvironmentThis role operates primarily in a professional office environment with frequent interaction with field personnel and vendors.
