Back to CareersGrants AccountantPhiladelphia, PASalary: $65,000.00 To $75,000.00 AnnuallyGrants AccountantFull-time Philadelphia, PA, USSalary Range:$65,000.00 To $75,000.00 AnnuallyPosition SummaryThe Grant Accountant is responsible for managing grant accounting activities, financial reporting, accounts receivable functions, and compliance related to restricted funding sources, government contracts, foundation grants, and other nonprofit funding sources. This position ensures accurate financial tracking, billing, reporting, and reconciliation of grant-funded programs while supporting the overall integrity of the organization’s financial operations.The Grant Accountant works closely with program leadership, development staff, funding agencies, and external auditors to ensure compliance with grant requirements, nonprofit accounting standards, and timely collection of receivables.Salary for this role is commensurate based based on experience and qualifications.Key ResponsibilitiesGrant Accounting & ComplianceMaintain accounting records for grants, contracts, contributions with donor restrictions, and other restricted funding sourcesMonitor grant budgets and expenditures to ensure compliance with funding requirements, approved budgets, and nonprofit accounting standards Prepare and submit grant financial reports, reimbursement requests, and related supporting documentationReview grant agreements and contracts to identify financial, reporting, and compliance requirementsTrack grant receivables, deferred revenue, and restricted net assetsAssist program managers with budget monitoring and grant spending analysisEnsure costs are properly allocated and documented in accordance with grant regulations and organizational policiesSupport grant audits, single audits, and monitoring reviews by funding agenciesAssist with preparation of schedules and supporting documentation for the annual financial statement audit and Form 990 preparationAccounts Receivable ManagementManage organizational accounts receivable processes, including invoicing, billing, collections, and cash applicationPrepare and submit invoices for grant reimbursements, fee-for-service contracts, government funding sources, and other receivablesMonitor outstanding receivables and follow up on overdue balancesReconcile accounts receivable subsidiary ledgers to the general ledgerResearch and resolve billing discrepancies and payment issuesMaintain accurate customer, grantor, and funding source recordsAssist with cash receipts reporting and aging analysisWork collaboratively with program and administrative staff to ensure timely billing and collectionsGeneral AccountingPrepare and record journal entriesPerform monthly account reconciliationsAssist with month-end and year-end close processesMaintain general ledger accuracy related to grants, receivables, and restricted fundingPrepare supporting schedules for audits and financial reportingAnalyze financial activity and investigate variancesFinancial ReportingPrepare budget-to-actual reports for grants and programsAssist in preparation of internal financial reports and supporting schedulesProvide financial information and analysis to management and program staff as requestedSupport preparation of reports for senior leadership, board committees, and fundersInternal Controls & Process ImprovementEnsure compliance with internal accounting controls, nonprofit financial policies, and proceduresAssist in maintaining accurate documentation and audit trails for grant and receivable transactionsRecommend process improvements related to grant accounting and receivables managementSupport implementation and optimization of accounting systems and reporting processesQualificationsEducationBachelor’s degree in Accounting, Finance, or related field requiredExperienceMinimum of 3–5 years of accounting experience requiredNonprofit and grant accounting experience strongly preferredAccounts receivable and billing experience requiredExperience with government grants, contracts, and restricted funding preferredExperience with nonprofit accounting systems preferredKnowledge, Skills, And AbilitiesKnowledge of GAAP and nonprofit accounting principlesUnderstanding of grant compliance, restricted funding requirements, and cost allocation methodologiesFamiliarity with Uniform Guidance and single audit requirements preferredStrong Microsoft Excel skillsExcellent organizational and analytical skillsStrong attention to detail and accuracyAbility to manage multiple priorities and meet deadlinesEffective written and verbal communication skillsAbility to work independently and collaboratively in a mission-driven environmentECS provides a motivating work environment and encourages individual professional development.
