Customer Service Staff
Summary
The Customer Service Staff member is responsible for providing excellent service to customers and ensuring the smooth delivery, import, and export operations of products. This role involves coordinating with sales, technical, production control, and logistics teams, managing related documentation, and resolving issues that arise during the import/export and delivery processes. The staff member in the General Affairs department performs duties related to office supplies and company events for the Michigan office, under the direction of the President and General Manager.
Essential Duties
Order Processing
Process customer orders accurately and promptly.
Collect forecast information from customers and report it to the supervisor and the sales department.
Provide appropriate feedback to the production control department when necessary.
Coordinate with the production control and logistics teams to ensure proper handling and shipment of products.
Review and manage shipping-related documentation in compliance with international trade regulations.
Export Coordination Communicate with freight forwarders and ensure compliance with export laws and regulations.
Monitor and track shipments and resolve delays or issues as they arise.
Maintain transaction records including shipping documents and invoices.
Review and correct irregular or inconsistent information received from customers or other parties.
Share customer order information with relevant internal stakeholders.
Customer Relationship Management Build and maintain strong relationships with key customers.
Monitor customer satisfaction and encourage repeat business.
Collect customer feedback and report it to the manager for improvement purposes.
Promptly send order confirmations for customer orders.
Manage customer credit limits and report to the supervisor and sales department as necessary to ensure appropriate credit control.
Accounts Receivable Reporting
Collect receivables related to the resin and chemicals business division and report to the administrative department.
In cases of delayed payments, cooperate with the sales department to expedite collections.
Report delays in receivables and collection follow-up status to the manager and the administrative department.
Customer Support Respond promptly to customer inquiries via phone and email.
Provide accurate information regarding product shipment schedules and import/export matters.
Address customer requests and issues effectively and efficiently.
Product Knowledge Continuously update knowledge of the company's products and services.
Consult with the supervisor when customers request detailed information or usage instructions regarding products.
Stay informed about industry trends and changes in import/export regulations.
Team Collaboration Work closely with the supervisor and other departments to improve operational efficiency and customer service.
Provide reports and feedback to the manager as necessary.

Working Hours & Work Style
9:00-17:00
Hybrid work: Minimum 3 days/week in-office, 2 days remote (subject to change)
From time to time you may also need to work additional hours with the permission of or as requested by your supervisor.
