Administrative Coordinator
Position OverviewWe are seeking a highly organized and professional Administrative Coordinator to support daily office operations while serving as the first point of contact for visitors and incoming calls. This role offers the opportunity to work closely with executive leadership while ensuring a smooth and efficient office environment.The ideal candidate is polished, detail-oriented, and capable of balancing front office responsibilities with higher-level administrative support.Key ResponsibilitiesServe as the first point of contact by answering, screening, and routing incoming calls professionallyGreet and assist visitors, maintaining a welcoming and professional office environmentProvide direct administrative support to executive leadership, including calendar management and meeting coordinationAssist in preparing reports, presentations, and board materialsCoordinate office operations, including vendor communication and office supply managementMaintain organized records, files, and documentationSupport light administrative accounting functions, including data entry and basic record keepingCoordinate internal meetings and assist with scheduling across teamsHandle sensitive and confidential information with discretionQualifications3+ years of administrative experience in a professional office environmentStrong organizational and time management skills with the ability to prioritize effectivelyExcellent verbal and written communication skillsProficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)Professional presence with strong customer service and phone etiquetteAbility to multitask and work independently in a fast-paced environmentPreferred ExperienceExperience supporting senior leadership or executivesExperience in a nonprofit, corporate office, or professional services environmentExposure to bookkeeping or administrative accounting functionsWhat We're Looking ForA polished, dependable professional who takes ownership of their roleSomeone who can confidently manage front office responsibilities while supporting executive-level tasksA proactive individual who can anticipate needs and keep operations running smoothly
