TTSTCand#8217;s special-purpose entity status provides the Comptrollerand#8217;s office direct access to specialized investment services and programs enabling the Comptroller to achieve the highest return at the lowest cost to the state.General descriptionTTSTC is seeking a Receptionist/Program Specialist in Business Operations Section! This role performs journey- level consultative services and technical assistance work. Work involves planning, developing, and implementing major agency program(s) and providing consultative services and technical assistance to program staff. Performs a variety of technical, training, research, planning, policy, and administrative activities for assigned program(s). May analyze performance data to help ensure compliance with program policies and procedures, statutes, and rules. May analyze the application of and variations within programs to develop action plans for improving or initiating new programs. May develop program policies, procedures, standards, and manuals in accordance with program objectives and goals. Hours are subject to change based upon business need or division determination.The position has no telework, it is an in-person position.Qualifications: Minimum QualificationsGraduation from an accredited college or university with a bachelorand#8217;s degree in either Business Administration or General Studies.Five (5) years of administrative experience.Preferred QualificationsTwo (2) years of experience relating to agency program travel, training and/or operations.Substitution:One additional year of experience may substitute for thirty semester hours of educational requirement with a maximum substitution of 120 semester hours (four years).In this role you willReceptionistServes as the Receptionist for the Trust Company, preparing conference rooms before meetings, requesting visitor logs to be completed, assisting visitors with paperwork needs, informing eeting organizers of their visitor arrivals, and doing clean-up of conference rooms immediately after meetings have ended.Checks conference room calendars and sends out an email to the TTSTC Admin Support Group itemizing all scheduled meetings and expected visitors to the Trust Company.Assists staff with the conference room calendar, as necessary.Maintains the Trust Company guest WiFi password records.Maintains the Trust Company visitor log and submits to CPA.Maintains/upkeeps Trust Company conference rooms and meeting rooms clean and organized.Disseminates important general information to Trust Company staff, as needed.Processes and distributes Trust Company mail timely and accurately.Answers the Trust Company phone line.References and follows the approved Receptionist Policy Procedures as outlined.OperationsProcesses badge access and parking requests for FTEand#8217;s and contractors and maintains the electronic access card roster and staff parking records.Handles office supply restock, including the collection of requests, obtaining approvals, order submittal to Trust Company Purchaser, and distribution and organization of supplies.Maintains/upkeeps Trust Company print rooms clean and organized.Enters electronic requisitions into MIP system.Assists the Trust Company Record Management Liaison, as needed.Functions as the Surplus Coordinator and liaison between the Trust Company and the Texas Facilities Commission (TFC) and the Texas Department of Criminal Justice (TDCJ).Functions As The Trust Company Safety Officer Team Lead.Functions as the Trust Company Events Coordinator.Backup to the Trust Company Key Designator.Submits work orders and handles office maintenance issues.Updates and distributes the staff roster monthly.Provides support to other areas of the Trust Company by assisting with ad hoc and on-going special projects as assigned, including mailouts and Advisory Board Relations.Writes and reviews policies and procedures for pertinent areas of responsibility.TravelTravel Coordinator for all Non-Investments staff.Supports them by making travel arrangements for conferences and meetings and accurately preparing and processing staff travel vouchers for reimbursement.Backs up the Travel Coordinator for Investments staff.TrainingActs as the CAPPS Learn Training Coordinator for the Trust Company and enters external training for all staff.Tracks the status and monitors compliance of staff to meet:1) Monthly assigned mandatory trainings;2) Minimum requirement training hours for fiscal year; and3) Biennium training requirements of Internal Investment staff.Works with managers in entering employee learning plans and keeping them advised of training requirement non-compliance in their departments.Acts as liaison to the CPA Professional Development Division to coordinate in-house trainings.Maintains all staff training records, runs reports and responds to audit requests.Maximize Your Earnings!At the Comptroller's office, we know potential employees are looking for more than just a paycheck.
