The eQMS Administrator is not a traditional quality professional role, and it is not an IT or development position. It requires someone who can own and operate a configurable enterprise software platform — building workflows, managing users, launching modules, supporting integrations, and driving adoption across a cross-functional organization — while maintaining the quality knowledge needed to ensure the system supports ISO 9001 and applicable standards.Immediate PrioritiesWHAT YOU GET TO DO: Collaborate with the Lead to develop eQMS Administrator SOPs and work instructions.Review and standardize existing SOPs and work instructions for consistency.Test and validate new features, workflows, and updates prior to deployment.Assist in configuring system settings, workflows, and user permissions.Develop training materials and deliver sessions to promote effective system usage.Initiate and monitor Jira tickets for issue tracking and resolution.Work with module administrators to organize and maintain user guides, SOPs, and training resources.Support integration of eQMS with enterprise systems (ERP, MES, PLM, HRM).Provide first-level support for eQMS-related issues and escalate complex cases as needed.Contribute to the successful execution of the eQMS launch plan.Ongoing Responsibilities:Manage user accounts, including creation, updates, and deactivation based on role changes.Communicate system updates, enhancements, and new features to stakeholders.Collaborate with cross-functional teams to identify improvement opportunities and implement enhancements.Generate and distribute reports on quality metrics, document status, and compliance KPIs.Develop and maintain audit processes for system administration.Conduct regular audits of user access and permissions to ensure compliance.Maintain document control processes, including versioning, approvals, and archival.Support management review meetings with accurate eQMS data.Ensure data accuracy and compliance with ISO 9001, IATF 16949, and other applicable standards.Provide system records and reports for internal and external audits.Monitor system usage and recommend process improvementsWhat You Bring To The TeamA proactive mindset with a passion for quality and continuous improvement.Strong analytical skills to identify system gaps and implement effective solutions.Ability to collaborate across departments and build strong working relationships.Adaptability to manage multiple priorities in a fast-paced environment.Commitment to maintaining compliance and driving operational excellence.A bachelor's degree or equivalent working-level experience.5-10 years of experience in a Quality environment, with a meaningful portion of that time spent as a system owner, module administrator, or power user of a configurable quality or enterprise software platform.This role requires hands-on software platform experience. Candidates with strong quality backgrounds, but no system administration experience are not the right fit. Candidates with IT or development backgrounds but no quality knowledge are equally not the right fit. We are looking for someone who bridges both worlds.Hands-on experience administering a SaaS-based eQMS or similar enterprise software platform (e.g., IntellaQuest, ETQ, MasterControl, Greenlight Guru, AssurX, or equivalent) — not simply using the system as an end user, but owning configuration, workflows, and user administration.Demonstrated ability to learn and navigate new software platforms quickly, including configuring system settings, building workflows, managing permissions, and supporting end users.Experience supporting software module launches, including user acceptance testing, training development, and rollout coordination.Familiarity with enterprise system integrations (ERP, MES, PLM, HRM) at the business process level — understanding data flow and system touchpoints without requiring coding or development skills.Comfort working at the intersection of quality systems and software administration — this role is not an IT position, but it requires someone who thinks like a system owner, not just a quality professional.Additional InfoAt FastTek Global, Our Purpose is Our People and Our Planet .
