Midwifery Administrative Coordinator
Department OverviewThe Midwifery Clinical Support Administrative Assistant is a hybrid position. This Administrative Coordinator (AC) will support midwifery faculty clinical practice operations at two locations. The AC will work with midwifery practice leadership to ensure clinician scheduling, credentialing, onboarding on of new clinicians, ongoing clinician professional compliance, and payroll submission as well as general practice support and administrative needs to ensure a smooth flow of operations. This position will act as a liaison between the SON Human Resources department and support the Midwifery Practice Manager and Senior Associate Dean for Practice for SON clinical practice outreach.Function/Duties of PositionClinical Operational Support—General support for the SON Midwifery Faculty Clinical Practices at all practice locations:Assist with the credentialing, onboarding, and ongoing compliance processes for all newly hired midwifery and current facultyOrganization of all midwifery clinical faculty ambulatory and inpatient schedules at all midwifery practice locationsQgenda (or other scheduling software) scheduling programSmart Web scheduling programInterface with ambulatory and inpatient LeadsMaintain clinic/inpatient shift statistic spreadsheets as part of tracking performance measures. Creates monthly reports based on these statistics.Time Keeping and Payroll submission for all PTO, sick, per diem, and other leave hours for the Midwifery Faculty at all practice locations. Liaison with SON Timekeeping for complex timekeeping and payroll situations.Serve as scheduler for online Webex meetings, interviews, and events for Midwifery Faculty practice, assist with meeting agenda development, take meeting minutes,Administrative support for Group Prenatal Care, including ordering of suppliesProcess all P-card transactions and reimbursements as directed by the manager/director.Provide general administrative support to the Midwifery clinical practiceAssists in development and maintenance of Quality Assurance projectsSON Support:Liaison for Human Resources support for all clinical providers in the SONReviews policies and procedures for obtaining relevant OHSU servicesSupports the Midwifery Practice Manager and Senior Associate Dean for Practice for SON Clinical Practice Outreach: including credentialing, intake/change/term documents, FPPE, OPPE of SON clinicians outside of the midwifery practices.Required QualificationsFour years of general office or secretarial experience; ORAn Associate's degree or certificate in office occupations or office technology and two years of general office or secretarial experience; ORA Bachelor's degree and two years of general office or secretarial experience; ORAn equivalent combination of training and experience.Additional certifications may be required based on the specific department the position resides in, as indicated by the position description.Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience.
