Ask anyone who knows us - the caliber of our people sets us apart.TALENT ACQUISITION ADMINISTRATIVE ASSISTANTThe Talent Acquisition Administrative Assistant will play a pivotal role in supporting the recruitment and hiring processes within the talent acquisition team and overall organization. This position is responsible for coordinating and streamlining various aspects of the talent acquisition lifecycle, including job postings, candidate communications, interview scheduling, and offer logistics. The ideal candidate is highly organized, detail-oriented, and passionate about creating an excellent candidate experience. In addition to supporting the full-cycle process, this position involves the following responsibilities:Ensuring a smooth and efficient hiring process while prioritizing candidate satisfactionProvide administrative support for campus recruitment efforts and the McGough Internship ProgramBuilding and maintaining relationships with prospective talent, hiring managers, employees, external networks, educational institutions, and search firmsQUALIFICATIONS:Required:3-5 years of strong administrative experience, with a proven ability to manage priorities, support team operations, and maintain organization in a fast-paced environment1-3 years of related experience in talent acquisitionExposure to using applicant tracking systems, online recruiting tools, professional networking platforms, and job boardsPreferred:3-5 years of related experience in talent acquisition &/or 7+ years of strong administrative experience, with a proven ability to manage priorities, support team operations, and maintain organization in a fast-paced environmentDemonstrated experience with full life cycle recruitment processExperience in hiring within the construction industrySkills:Strong computer skills: Microsoft Office Suite – Outlook, Word, Excel, OneDrive, Teams, the Adobe Creative SuiteDemonstrated capacity for effective problem-solving, and adaptability in complex situationsCapacity to manage multiple tasks to meet deadlinesExceptional organizational skills with strong written and verbal communication abilities, paired with keen attention to detailAbility to work collaboratively and communicate effectively with all team membersAbility to work with confidential data while maintaining privacyCapability to professionally voice concerns and adeptly manage conflictsPositive can-do attitude and continual learnerCORE RESPONSIBILITIES: Candidate ManagementAssists in screening resumes and applications to help identify qualified candidates.Ensure a positive and professional experience for all candidates by maintaining timely and clear communication throughout the process.Proactively address candidate inquiries and concernsMaintain accurate and up-to-date recruitment records and documentation in the applicant tracking system and TA shared filesOversee the TA e-mail inbox, ensuring timely responses, organization, and appropriate follow-up on inquiriesGenerate reports and metrics on recruitment activities as needed.Interview and Offer CoordinationSchedule and coordinate interviews with hiring managers and candidates, ensuring a seamless process.When needed assist in coordinating candidate’s travel, lodging, etc. for interviews.Prepare and distribute interview agendas and materials.Communicate with candidates to confirm interview details and answer questions.Assist with preparing offer letters and additional forms.Supports External Recruitment Resources Assists the TA team in maintaining relationships with external search firms, headhunters, and other recruitment partners.Helps track and review the performance of search firms and headhunters to ensure alignment with organizational needs.Employee Referral ProgramManage the employee referral program, including tracking submissions, maintaining accurate records, and ensuring a smooth process for employees and candidates.Partner with TA team and marketing to promote the program and drive engagement across the organization.Monitor referral metrics and provide insights to improve participation and hiring outcomes.Job Postings and AdvertisingCollaborates with TA and Marketing teams to actively communicate the company's culture, values, and job opportunities through various channels such as social media outlets, in-house platforms, job boards, etc.Ensure job postings are accurate and aligned with branding guidelines.Overall Talent Acquisition SupportProvide administrative support for TA team events, including coordination, logistics, and communication.Capture and maintain clear, organized notes from team touch bases to support alignment and follow-through.Maintain the HR SharePoint team page, ensuring content is accurate, organized, and kept up to date.Identifies and contributes to enhancing hiring efficiency and improvements to our recruitment efforts.Other Duties As AssignedProvide administrative support for campus recruitment efforts and the McGough Internship Program. Including attending career fairs.Provide administrative support to the broader HR team, assisting with coordination, documentation, and day-to-day operational needs.Participate as an active member of the Talent Acquisition and HR Teams. Contribute to shared goals and collaborate with colleagues on achievement of priorities.OFFICE AND TRAVEL:Office: This position is hybrid, allowing for remote flexibility of 2 days per week after the initial training period. When working in the office, the primary location is the corporate office in St. Paul.Travel: Occasional visits to regional offices and overnight travel for participation in HR talent acquisition conferences, events, and college recruiting events.PHYSICAL REQUIREMENTS:The physical requirements listed here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Employee needs to be able to lift up to 20 pounds as frequently as needed to move objects; dexterity to write and manipulate computer keyboard and mouse; ability to hear and speak clearly; and ability to distinguish between colors on graphs and charts.Occasionally, employee will be required to visit construction jobsites which may expose the employee to dirt, dust, uneven surfaces, outdoor weather conditions and extreme temperatures.In alignment with our commitment to pay transparency, the base salary range for this position is $25.00 - $32.00/hour, excluding fringe benefits or potential bonuses. If you join McGough, your final base salary will be determined by several factors, including geography, location, skills, education, and experience. Furthermore, we place significant value on pay equity among our current team members as part of any final job offer.Please note that the range provided above reflects the hiring range for this role. Hiring near the top end of this range would be atypical, as we aim to allow room for future salary growth. Additionally, McGough offers a comprehensive compensation and benefits package.
