The Records Retention Clerk 2 will prepare, research, scan, and index sensitive and confidential information/documents utilizing an electronic imaging system. ESSENTIAL FUNCTIONS: Prep, scan index sensitive and confidential documents utilizing an electronic archive system. Verify various documents, records, letters, invoices, and forms once scanned. Provide and assist customers with timelines of destruction, retention, and storage of Division Records in accordance with Division federal, state, and industry regulations of record retention. Perform research requests on archived records and information as it relates to record retention storage retrieval system. Troubleshoot production scanners and imaging equipment for minor problems. Answer the telephone, give and receive information, and relay messages. Order and maintain office supplies as needed. Operate division vehicle, enter/retrieve data utilizing computer equipment; utilize various word processing software packages; operate various office machines, micro-fiche, and micro-film equipment. Perform other duties as directed. A valid driver ' s license from the state of residence is required. CERTIFICATIONS EDUCATION High School Diploma or General Education Development (GED) is required. EXPERIENCE Must be able to operate a calculator and computer input/output equipment. Must have an occupationally significant combination of understanding systematic, numerical, record-keeping, and data gathering procedures; verbal ability to communicate with people in acquiring information and answering inquiries. Ability to perform clerical duties including composing correspondence using proper rules of grammar, spelling and punctuation; clerical perception to proofread, index, and file materials; and ability to follow instructions and procedures. ADDITIONAL INFORMATION Works in the office majority of the time. Must have successfully completed appropriate Clerical/Secretarial Training Program for promotional progression. Physical Demands: Requires sedentary work involving standing or walking for brief periods, exerting up to 20 pounds of force on a regular basis; and some dexterity in operating office equipment.
