Intake Specialist - Family Law Firm
My client is a San Francisco-based family law firm specializing exclusively in divorce, custody, support, and complex family law matters. They work closely with financial experts, mental health professionals, and other specialists to provide strategic, tailored solutions for our clients.Position OverviewWe are seeking a reliable, detail-oriented Legal Intake Specialist to manage prospective client intake from initial inquiry through retainment. This client-facing role is critical to both client experience and firm operations. The ideal candidate thrives in a fast-paced environment, communicates with empathy and confidence, and has experience in legal or administrative intake (family law preferred).Key ResponsibilitiesRespond promptly to new client inquiries via phone, email, and online intake formsConduct initial intake calls with prospective clients in a professional, empathetic, and confident mannerCollect and accurately document client information in our case management systemsPerform preliminary conflict checks and coordinate with attorneysSchedule consultations using Microsoft Outlook and coordinate attorney availabilitySend engagement materials and guide clients through next stepsDiscuss consultation fees and handle basic payment collection for consultations or retainers as neededMaintain consistent follow-up with prospective clients to ensure no leads fall through the cracksCommunicate clearly with attorneys and staff regarding intake status and schedulingKeep intake records organized, up to date, and accurateAdjust quickly to changes in workflow, priorities, or proceduresHandle confidential and sensitive information with discretionWhat We’re Looking ForExperience in an intake, administrative, or client-facing role (law firm experience preferred; family law a plus)Strong working knowledge of Microsoft Outlook, including email and calendaringComfortable working with Adobe and document management (PDFs, forms, review and organization)Excellent organizational skills and attention to detailComfortable discussing fees and handling basic payment collectionStrong written and verbal communication skillsAbility to manage multiple tasks and follow through consistently in a fast-paced environmentWillingness to adapt, learn quickly, and adjust as firm needs evolveSalary and Other Compensation:The annual salary for the role is 75-100kFactors which may affect pay within this range may include geography/market, skills, education, experience and other qualifications of the successful candidate.
