Receptionist/Office Assistant

In this role, you will be the first point of contact for clients, agents, and visitors, ensuring smooth daily operations of our office. You will also support our real estate professionals with various administrative tasks to keep the office running efficiently. Key Responsibilities Front Desk Management: Serve as the first point of contact for clients, agents, vendors, and visitors. Greet and direct people in a friendly and professional manner. Answer phone calls and emails, take messages, and provide information as needed. Administrative Support: Assist with general office tasks including filing, data entry, maintaining client records, and preparing documents for agents and clients. Scheduling & Coordination: Manage scheduling for the office, including appointments, meetings, and conference calls. Coordinate room bookings and ensure the calendar is organized. Client Interaction: Provide high-level customer service by assisting with inquiries, processing paperwork, and supporting the smooth flow of real estate transactions. Help prepare documents for closings, listings, and client meetings. Mail & Supplies Management: Handle incoming and outgoing mail, packages, and deliveries. Maintain an organized inventory of office supplies and reorder when necessary. Office Organization & Maintenance: Ensure the office is clean, organized, and welcoming at all times. Handle the upkeep of office equipment (copiers, printers, etc.). Marketing & Social Media Support: Assist with office marketing efforts by updating social media, preparing promotional materials, and supporting event coordination. Other Duties as Assigned: Provide ad-hoc administrative support to agents and management as needed, including assisting with special projects and office-related tasks. Qualifications Education & Experience: High school diploma or equivalent required. Previous experience in a receptionist, office assistant, or customer service role is preferred, ideally in a real estate or fast-paced office environment. Skills & Abilities: Strong communication skills, both written and verbal. Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively. Proficient with Microsoft Office Suite (Word, Excel, Outlook, etc.) and familiarity with office equipment (copiers, fax machines). Friendly, professional, and approachable attitude. Ability to maintain professionalism under pressure. Real Estate Knowledge (Preferred but Not Required): Familiarity with real estate terminology, processes, and documentation is a plus. Prior experience working in a real estate office is a bonus. Additional Qualities: Self-motivated, detail-oriented, and proactive in completing tasks. Must be a team player who enjoys working in a collaborative environment.
