Office Manager
The Office Manager is responsible for owning and managing core administrative processes, payroll, benefits administration, licensing oversight, and office support functions. This role serves as a key operational support position, helping ensure accurate processing, regulatory compliance, and efficient day-to-day dealership and finance office operations. This position also serves as a systems administrator for user access management and supports cross-functional coordination between accounting, compliance, and dealership departments.Payroll & HR Administration· Process payroll accurately and timely· Coordinate new employee onboarding and related documentation· Administer employee benefits and reconcile benefit payments· Assist with benefit enrollment changes and vendor communications· Maintain payroll and personnel records in compliance with company policiesOffice Administration & Process Management· Oversee daily administrative office processes· Process accounts payable and related documentation· Manage company credit card administration and reconciliations· Oversee fleet card management and controls· Support office workflow improvements and process consistencyDealership Operations Support· Book and process vehicle deals in the DMS accurately and timely· Serve as subject matter resource for dealership management system processes· Support deal documentation flow between departments· Assist with title and internal fleet administration· Provide operational support across departments as neededLicensing, Compliance & Risk Oversight· Assist with money lending license oversight and related compliance requirements· Maintain oversight of business licenses, surety bonds, and insurance renewals· Support Safeguard and compliance administration requirements· Monitor compliance deadlines and assist with regulatory reporting· Maintain organized records supporting audits, examinations, and renewalsSystems Administration· Administer user access for key systems and applications· Add, remove, and update user access permissions· Coordinate with IT or vendors regarding user setup and security access· Support access controls and related administrative security proceduresQualifications and Skills· High school diploma required; associate or bachelor’s degree preferred· Previous office management, dealership administration, or accounting support experience preferred· Knowledge of payroll, benefits administration, and office controls· Familiarity with dealership systems and compliance requirements preferred· Strong organizational and time-management skills· High attention to detail and process accuracy· Proficiency in Microsoft Office and dealership management systems· Ability to handle confidential information professionallyWork EnvironmentOffice setting within a fast-paced automotive dealership with frequent interaction across departments.
