EXECUTIVE & STUDIO ASSISTANT Shannon Scott Design is an ethically and sustainably focused interior design and interior architecture studio based in Santa Barbara and Santa Ynez, California. We are seeking an experienced Executive & Studio Assistant to support our Principal & CEO, and collaborate with our other team members, on a myriad of studio, business development, project, and personal needs. A perfect opportunity for a design enthusiast who enjoys wearing a multitude of hats and is both creative and passionate about providing superior client experiences. Highly organized with very strong attention to detail and accuracy is a must. Due to the nature of this fast-paced industry, our team members must be adept at adjusting priorities to meet project and business needs. Most work is performed in our Santa Barbara studio, with time also spent in our Santa Ynez studio, and the Santa Barbara County region. However, out of area travel will be required from time to time. ROLE & RESPONSIBILITIES · Support Principal with business and personal needs, managing the calendar, appointments, and master task list to keep priorities on track. · Oversee daily studio flow and support adherence to the Principal’s schedule and studio deliverables. · Welcome visitors and clients. · Manage client onboarding, maintaining strong, ongoing client relationships and delivering a luxury-level client service experience. · Attend meetings, site visits, and shopping trips with Principal, taking clear notes and action items for follow-up. · Schedule, organize, and prepare meetings, appointments, travel, and out of town trips (vendor, client, business development, personal). · Interface with business and personal contacts in a polished, professional, and discreet manner. · Prep, plan, style, and accessorize photoshoots. · Project support as needed/required. · Studio event coordination and oversight/management. · Arrange, coordinate, and attend events and promotional activities. · Explore / follow-up on marketing/project opportunities and business strategies, including R&D, in collaboration with Principal. · Design and develop branding content and collateral (publishing packages, social media, etc.). · Capture photographs and video for social media use and visual documentation. · Assist with the creation and distribution of email and print campaigns, newsletters, and studio updates. · Update and maintain mailing lists regularly for use in marketing, PR, and client communication. · Help support business development outreach. · Research and source suppliers for luxury vegan and sustainable design materials and products. · Handle a range of business, project, and personal errands and tasks in support of the Principal and studio. · Receive, sort, and distribute studio mail and packages. · Monitor office supply levels and coordinate ordering as needed. · Organize and maintain the design library, sample storage, and general studio cleanliness. WHO YOU ARE · A natural helper who loves being in a support role. · Highly organized, detail-oriented, and proactive. · Confident, calm, and comfortable solving problems. · Happy handling both big-picture planning and small daily tasks. · Excellent communication, both written and verbal. · Loves beauty, design, and living well. · Comfortable around animals and happy to assist with animal sanctuary needs. · Open-minded and interested in wellness, personal growth, and travel. QUALIFICATIONS & SKILLS · Must be a self-starter, highly competent in a variety of areas, and self-sufficient. · Bachelor’s Degree preferred, but experience is most important. · At least 3 years (preferably 5) experience providing support for owner, media personality, and/or C-level executive. · Ability to learn and grow in high pressure situations. · Strong writing, editing, and proofreading skills. · Excellent client service skills and well versed in interfacing with clients, consultants, and vendors. · Experience with social media, marketing, and business development activities preferred. · Extremely professional, reliable, and committed to a strong work ethic. · Knowledge of all basic office technology and equipment. · Photoshop, Illustrator, and other graphic skills and experience a plus. · Must live Santa Barbara County or Ventura County; position will be working full-time in Santa Barbara studio with trips to Santa Ynez studio · US citizen, valid Driver’s License, insurance, and reliable vehicle.
