Program Support CoordinatorRole SummaryThe Program Support Coordinator provides the logistical and administrative backbone for training delivery: booking facilities and travel, managing webinar and Zoom infrastructure, maintaining student records, and handling the administrative details that keep training events running smoothly.Reports to the Director of Training Operations, working in close day-to-day support of both the Training Manager and the Instructor Manager.Key ResponsibilitiesTraining Logistics and CoordinationSource and book training facilities and test houses in the near term as requiredCoordinate instructor travel, lodging, and transportation, including booking flights and hotels and updating them as schedules changeSend out Airbnb information and troubleshoot check-ins each Sunday as requiredManage training event housing and travel logisticsCoordinate shipping of equipment and training materialsOrder and send materials needed for training, including EA manuals, Retrotec equipment, lead testing supplies, and CL/RIT materialsAssist with classroom and training site logisticsSupport training preparation and post-class follow-upWebinar and Zoom AdministrationManage all Zoom accounts and webinarsCreate Zoom meetings for all webinar trainings and update Airtable with the correct linkStart and host Zoom classes for instructors when neededStudent and Program AdministrationMaintain student rosters and enrollment records, updating them as neededManage LMS updates and course administrationTrack registrations and participant informationCreate unique certificates for training programsSupport student recordkeeping and reportingAssist with training communications and remindersSystems and Data ManagementOrder BPI/BSP exams when neededAssist with reporting and data trackingMaintain operational documentation and recordsSupport process automation and system improvementsAdministrative and Financial SupportConsolidate and send institutional rosters for invoicingProcess receipts, expenses, and purchasing requestsCoordinate equipment orders and inventory trackingAssist with vendor communication and logisticsSupport operational projects and initiativesMaintain organized records and documentationWhat We're Looking ForStrong organization skills. This is the most important trait for this roleAbility to quickly learn new software and systems (Airtable, Zoom, the LMS, and similar tools)Attention to detail, especially with student records, rosters, and certificatesComfort juggling multiple logistics threads at once, such as travel, facilities, and materials, without losing track of detailsStrong communication skills for coordinating with instructors, vendors, and internal teams
