Resource Coordinator (80% Remote) in Vernon Hills, IL
Our client, a F500 leader in the IT industry is seeking to hire a Project Coordinator (Resource Coordinator). This is a HYBRID role, and you will have the ability to work from your home office 4 days a week. You will spend 1 day a week reporting to the Vernon Hills, IL office. Hours for this position are 8:30am-5:00pm Monday – Friday. This role starts as a 6-month contract but offers the ability for both extensions and perm roles for top performers. Benefits (medical, dental, vision) will be included on the 1st of the month following 60-days of employment.Job SummaryThe Project Coordinator will be responsible for coordinating multiple aspects of services projects, including schedules, resources, system configuration, and reporting. You will work closely with the Professional Services Manager on strategic and tactical solutions for branch services delivery and maximizing utilization of billable resources. You will support project managers and project teams to ensure that no resources are being allocated to unnecessary tasks and that all aspects of the project are completed as quickly as possible.Key Duties:Provides resource coordination for coworkers and partners to meet customer expectations and timelines, maximizing utilization of engineering and project management resources.Schedules and leads internal and client project kickoff meetings.Ensures projects are set up for appropriate invoicing.Prepare, monitor and maintain resource forecasting reports, timelines and other project documentation including project closure reports.Establishes and assembles project teams and coordinates activities.Develops detailed work plans, project estimates, status reports, project tracking and analysis.Performs economic and other analysis as required to achieve the best least cost.Manages critical milestones throughout the project to ensure the best customer experience.Meet with project team to outline, review and monitor project goals, activities, status, risks and other activities as they relate to resource assignments as needed.Work with other groups to maximize the team's utilization on projects throughout the United States as needed.Maintain billable resources’ schedules.Meet regularly with branch sales and engineering teams to ensure proactive response to staffing needs and to anticipate staffing constraintsMaintain project status in the resource tracking and invoicing system of record.Required QualificationsBachelor’s degree in Business, Information Technology, or related field (or equivalent experience).0–2 years of experience in project coordination, administrative support, or operations.Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously.Excellent verbal and written communication skills.Proficiency in Microsoft Office Suite, especially Excel, Word, and PowerPoint.Ability to work independently, prioritize tasks, and manage time effectively.Strong attention to detail with the ability to maintain accurate project documentation and reporting.Ability to collaborate with cross-functional teams, including sales, engineering, and project management.Customer-focused mindset with strong problem-solving skills.Preferred Qualifications1+ years of experience with resource scheduling, project tracking tools, or ticketing systems.Internship or early experience supporting IT projects, PMO teams, or professional services environments.Familiarity with project management methodologies (Agile, Waterfall, or hybrid)Exposure to financial tracking, invoicing, or resource forecastingExperience supporting client-facing projects or kickoff meetingsBasic understanding of IT infrastructure or configuration services (nice to have, not required)
