Parts Runner / Warehouse Helper
The Parts Runner / Warehouse Helper is responsible for ensuring the timely and efficient delivery of parts, materials, and tools to job sites and service vehicles for HVAC, plumbing, and underground related projects. This position requires excellent organizational skills, a strong work ethic, and the ability to work efficiently in a fast-paced environment. The Parts Runner will coordinate with service and installation teams to ensure they have the necessary parts and supplies to complete jobs on time and to the highest standards. This is an essential role in supporting the day-to-day operations of a growing $25 million company.
Key Responsibilities:
Parts Delivery & Pickup:
Deliver parts, tools, and materials to service technicians, installers, and job sites as requested by the service or installation departments.
Ensure that all deliveries are made in a timely manner, adhering to scheduled delivery times and urgent needs for emergency service calls.
Pick up parts and materials from local suppliers and vendors as needed, ensuring accuracy in orders and ensuring proper handling of items.
Coordinate with the parts department to ensure inventory levels are adequate for upcoming jobs and to identify any stock shortages.
Load and unload delivery vehicles with parts and materials in an organized and safe manner.
Inventory Support:
Assist in maintaining proper stock levels of commonly used parts, tools, and equipment in company vehicles and at the shop.
Help with inventory management by returning unused or excess materials from job sites to the shop or warehouse.
Ensure parts and tools are properly stored and labeled in the service vehicles and warehouse for easy access.
Report inventory needs and low stock levels to the parts department to ensure timely reordering.
Job Site & Technician Support:
Provide support to technicians and installers by ensuring they have the necessary tools and materials for each job.
Assist in organizing and labeling parts and materials at job sites, helping technicians locate what is needed quickly and efficiently.
Ensure that technicians’ service vehicles are stocked with all required tools and parts prior to heading out to job sites.
Communicate effectively with technicians, installers, and the parts department to prioritize urgent needs and adjust delivery schedules accordingly.
Maintenance & Vehicle Care:
Perform basic maintenance on delivery vehicles, ensuring they are clean, fueled, and in good working condition.
Report any issues with vehicles or equipment to the shop or fleet manager for repairs or servicing.
Ensure that service vehicles are equipped with all necessary safety equipment and supplies, such as fire extinguishers, first aid kits, and tools.
Perform regular vehicle inspections and maintain logbooks of deliveries and pickups for record-keeping purposes.
Documentation & Reporting:
Maintain accurate records of all deliveries and pickups, ensuring proper documentation of parts, tools, and materials transferred to job sites.
Update inventory records as necessary, reporting any discrepancies or damaged parts upon delivery.
Assist with maintaining documentation of deliveries, ensuring all parts are signed for and accounted for upon receipt.
Customer Service & Communication:
Maintain a professional and friendly demeanor when interacting with clients, vendors, and internal teams.
Provide excellent customer service, ensuring that all requests are fulfilled accurately and promptly.
Communicate any delivery delays, issues, or changes in schedules to relevant parties, including technicians, dispatchers, and clients.
Represent the company professionally in all interactions, adhering to company standards for behavior, safety, and customer service.
Qualifications:
Experience:
1-2 years of experience in a similar role, preferably in the construction, HVAC, plumbing, or underground related industries.
Experience with inventory management or basic logistics is preferred, but not required.
Familiarity with common HVAC, plumbing, and construction parts, tools, and materials is a plus.
Skills & Abilities:
Strong organizational skills, with the ability to handle multiple deliveries and tasks simultaneously.
Excellent time management skills and the ability to prioritize urgent deliveries and needs.
Strong communication skills, with the ability to work effectively with technicians, clients, and vendors.
Ability to work independently, with minimal supervision, and maintain a high level of responsibility.
Ability to lift, carry, and transport materials up to 50 lbs.
Familiarity with basic vehicle maintenance, including fueling, cleaning, and performing minor repairs.
Ability to operate a variety of delivery vehicles and equipment, including vans, trucks, and forklifts (certification preferred).
Licensing & Certifications:
Valid driver’s license and clean driving record are required.
Forklift certification is a plus, or the ability to obtain it within a specified timeframe.
Must be able to pass a background check and drug screening.
Physical Requirements:
Ability to lift and carry heavy parts and materials (up to 50 lbs or more).
Ability to work in various weather conditions, including hot, cold, and wet environments.
Ability to bend, squat, kneel, and stand for extended periods while loading/unloading parts and materials.
Ability to drive a delivery vehicle for extended periods.
Working Conditions:
Full-time position with occasional overtime during peak seasons or for emergency deliveries.
Work is performed both in the company’s shop and on job sites, with frequent driving between locations.
Interaction with field technicians, installers, and clients to ensure parts and materials are delivered as needed.
Occasional exposure to hazardous materials (e.g., chemicals, tools, etc.) when making deliveries to job sites.
