EAST MUSKINGUM SCHOOLS Job Description JOB TITLE: Administrative Assistant to the Superintendent This is a full-time position working a 260 day contract* REPORTS TO: Superintendent SUMMARY: The Administrative Assistant to the Superintendent performs a wide variety of complex and confidential secretarial, administrative, and clerical duties in support of the District and School Board operations. The Administrative Assistant to the Superintendent works independently, performing work of a regular and recurring nature under general supervision. The work requires regular independent judgment, the ability to independently prioritize and organize work, deal with frequent non-routine situations, and coordinate activities of major programs and projects. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Serves as primary point of contact between Superintendent and other school and District personnel, including principals, secretaries, school staff, and the general public. Coordinates office operations for the Superintendent, including managing information flow, assisting with administrative tasks, coordinating workflow, communicating information to school and District personnel, and developing office forms, systems and procedures. Strong proficiency in Microsoft Office Suite and Google Workspace, including document creation, data management, and presentations. Develop working knowledge of school software: Progressbook, Final Forms, PSW, & TalentEd. Assists in the execution of special projects, including compiling and analyzing data, preparing summary reports, and performing statistical tabulations and calculations. Gather information and prepare the agenda for all Board of Education meetings. Composes, or transcribes from rough drafts, correspondence, bulletins, memorandums, and other material. Prepare and organize new staff communication/orientation. Serve as secretary for the East Muskingum Policy Committee. Serve as the East Muskingum Distinguished Alumni secretary and perform duties related to the position. Maintains a regular filing system, as well as a set of locked confidential files, and processes incoming correspondence. Maintains and updates contract database. Prepares district newsletters and assists with the annual calendar. Greets visitors to the district center, determines nature of business, and directs visitors to destination. Acts as a liaison between the superintendent and administrative staff in screening and routing inquiries and requests. Answers telephone to provide information, take messages, or transfer calls. Maintains a calendar of school events. Assumes responsibility for professional growth and development, keeping current in research, literature, and techniques. Maintain strict confidentiality in all matters. Demonstrates regular and predictable attendance. Performs all other duties as required or requested by the superintendent. QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Excellent communication and organizational skills required. LANGUAGE SKILLS Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports. Ability to speak effectively before groups of students or employees of organization. MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to learn and use database and spreadsheet software. TECHNOLOGY SKILLS The employee will have an operational knowledge of Windows based computers and related technology. The employee will take advantage of all district level technology training that is appropriate to their assignment. REASONING ABILITY Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. CERTIFICATES, LICENSES, REGISTRATIONS: Must provide appropriate certificate as required for the position.
