Executive Assistant
Job DescriptionServes as executive assistant to VP/GM Intel Solutions and its business areas. Will be the primary Point of Contact (POC) for the office and provide administrative support by performing a variety of complex and routine administrative duties in compliance with written and oral guidance and policies.The ideal candidate will be experienced working with C-Suite executives and can handle a wide range of administrative and executive support related tasks.Responsibilities will include:Facilitate daily office operations (e.g., scheduling and coordinating meetings, calendar management, and general office logistics) with an emphasis on calendar de-confliction and hybrid challenges (virtual, on-site, customer)Attend and participate in meetings, take meeting notes, record taskers and actions, and update the staff when necessary.Review incoming and outgoing correspondence, including preparing documents for signature and ensure proper routingEdit presentations, briefings, and reports; check for formatting, proofread, and edit as necessary.Coordinate travel logistics and itineraries. Monitor travel-related expenses and reconcile within policy timeline.Assist in coordinating special projects/events, including planning and coordinating multiple presentations, disseminating information, and organizing team events.Coordinate new employee onboarding, provide information pertaining to creation requests for network access accounts, IT equipment and workspace and laptop set-up.Update and maintain records, files and other documents/materials (electronic or in hard copy).Performs multiple critical and time-sensitive tasks simultaneously.Host visitors, coordinate parking, pass security clearances and escort uncleared visitorsRequired Education, Experience, & Skills15 Years with HS or 8 Years with AA or 3 Years with BSExperience working in a classified environmentExcellent written, oral, and interpersonal communication skills. Prior experience providing administrative support to senior leaders.Excellent organizational skills, ability to establish and maintain working relationships with internal and external staff members, and the ability to work independently and take a proactive roleFlexibility and ability to prioritize tasks according to senior staff requirements.Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and SharePointA true team player who maintains a positive attitude in a dynamic environmentHigh energy, enthusiasm, tact, ability to interact effectively with senior executives from government and industry as well as internal BAE ExecutivesAbility to create and foster a cooperative work environment.Self-directed, detail oriented in completing assigned tasks, able to adapt to changing work efforts and manage impact of shifting prioritiesPay InformationFull-Time Salary Range: $73068 - $116908Please note: This range is based on our market pay structures.
