Compliance Coordinator
Job SummaryUnder routine supervision, this role upholds adherence with federal, state, and local regulations while facilitating human resources compliance services, including I-9, immigration, and/or unemployment; this role may be assigned to a specialty with opportunity to cross-train. The incumbent manages end-to-end case processing, performs detailed documentation reviews and audits, resolves discrepancies, and communicates effectively with internal stakeholders and external entities (vendors, regulatory agencies, etc.) to facilitate outcomes.Job DescriptionKey Responsibilities: Remain up-to-date on applicable federal, state, and local regulations to validate organizational processes are compliant, accurately advise employees, manage cases effectively, and escalate emerging impactsExecute end-to-end processing for I-9, immigration, and/or unemployment; initiative cases, validate information, correct errors, file documentation, and perform internal/external progress checks until final outcomeRepresent the company in direct case management with third party entities (vendors, regulatory agencies, etc.) to exchange required information, troubleshoot issues, and facilitate prompt processingDeliver ongoing communication, guidance, and support to employees, managers, and other involved groups on expectations, required documentation, process updates, inquiry responses, and best practices across I-9, Immigration, and/or unemployment programsDirect impacted employees, managers, People department teams, and other involved contributors by providing clear procedural guidance; monitor participants' adherence to the process, follow-up and provide coaching as needed to promote favorable outcomesCoordinate workflows by preparing, reviewing, and submitting documentation to necessary agencies, maintaining audit-ready records; use independent judgement when tracking case progressions to implement countermeasures for potential issues, communicate procedural requirements, decide on optimal approaches for varied situations, and convey decisions and rationale to affected partiesReview documentation, system records, timelines, and validation results to identify discrepancies, researching the root cause, providing resolutions, and escalating when necessary to offset risksPerform scheduled audits to validate and clean the data with cross-references to related reports, identify discrepancies, and coordinate with appropriate teams to resolveconcerns; act in the best interest of stakeholders, upholding compliance and safeguarding from disruptionsPerform other duties as assigned QualificationsMinimum Qualifications: High School Diploma or GED equivalent with at least 6 months of regulatory compliance, business administration, office services, or relevant experience, and/or military equivalentPreferred QualificationsHigh School Diploma or GED equivalent with at least 6 months of Human Resources, Compliance, Legal, or relevant experience, and/or military equivalentAbility to accurately analyze situations and reach productive decisions based on informed judgmentAbility to maintain professionalism while dealing with difficult situationsAbility to effectively transmit, receive, and accurately interpret ideas through various mediumsAbility to manage multiple prioritiesAbility to work individually or as part of a teamKnowledge of federal, state and local employment laws and regulationsAbility to process information with high levels of accuracyThis position is not eligible for employment-based sponsorship.CompensationFactors which may affect starting pay within this range may include skills, education, experience, geography, and other qualifications of the successful candidate.
