Executive Assistant & Legal Support Coordinator
Position OverviewOCBS is seeking a highly organized Executive Assistant / Legal Support Coordinator to support the CEO and senior technical experts involved in general construction and construction litigation matters.This role combines executive administrative support with litigation support responsibilities, assisting with the preparation of expert witness reports, organizing case documentation, and coordinating materials used in mediation and potential litigation.The ideal candidate will thrive in a fast-paced environment requiring exceptional attention to detail, strong organizational skills, and the ability to manage shifting priorities while supporting multiple leaders.Key ResponsibilitiesLitigation & Contract SupportProvide administrative support related to contract management and litigation preparation.Assist in organizing documentation used in expert witness reports, mediation, and potential litigation.Maintain organized digital and physical case files.Compile supporting materials, including inspection reports, photographs, and documentation for case preparation.Coordinate documentation requests and case materials with attorneys or external parties when necessary.Report & Documentation PreparationPrepare, format, and organize expert witness reports and technical documentation.Assemble case files, exhibits, and supporting materials used in mediation and legal proceedings.Ensure documentation is complete, organized, and properly formatted for distribution.Executive Assistant SupportProvide administrative support to the CEO and senior experts.Manage high-volume calendar scheduling with frequent prioritization changes.Coordinate meetings, deadlines, and scheduling related to inspections, case preparation, and executive activities.Prepare reports, presentations, and other executive materials.Maintain confidentiality when handling sensitive legal and business information.QualificationsRequired QualificationsStrong organizational skills and exceptional attention to detailAbility to prioritize multiple competing deadlines and shifting prioritiesStrong written and verbal communication skillsProficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)Ability to work effectively in a small team environmentPreferred Qualifications3–5 years of administrative, executive assistant, or legal support experienceExperience supporting litigation preparation, consulting teams, or legal environmentsExperience organizing complex documentation or preparing formal reportsExperience within the construction defect or construction consulting industry
