Executive Assistant

Holder Construction has an exciting opportunity for an experienced Executive Assistant to join our team. This position sits in our Herndon regional office and is an in-office position.Description of Responsibilities:The Administrative Specialist will serve as a key support resource for the leadership team, ensuring smooth day-to-day operations of the office. This role requires a proactive, highly organized individual who can manage multiple priorities and maintain discretion while supporting executives and office functions.Responsibilities include:Oversee daily office operations including vendor coordination, snack inventory, and general upkeep.Act as the point of contact for facility-related issues and vendor relationships.Manage complex calendars for executives, including scheduling internal and external meetings.Prepare agendas, take notes, and follow up on action items from meetings.Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, and itineraries.Organize and support business dinners and client-facing events.Assist with planning and logistics for training sessions and onboarding events.Schedule interviews, prepare candidate materials, and coordinate with HR and hiring managers.Provide support for Business Development presentations, including formatting, proofreading, and compiling materials.Maintain and organize shared documents and templates.Prepare and submit expense reports for executives, ensuring compliance with company policies.Track reimbursements and liaise with Finance and Accounts Payable as needed.Required Skills & QualificationsAdvanced skills in Microsoft Excel, Word, and PowerPoint.Familiarity with finance processing tools and expense management systems.Excellent written and verbal communication skills.Strong organizational and time management abilities.High level of discretion and confidentiality.Ability to work independently and collaboratively across departments.Minimum 3-5 years of experience in an Executive Assistant or similar administrative role.Prior experience supporting senior leadership preferred.Able to anticipate needs and take initiativeStrong follow-up and tenacity in driving tasks to completionWe are a performance-based company with an excellent career development program.
