Office Assistant

Overview We are seeking a detail-oriented and organized Office Assistant to join our team. This role is essential in supporting daily office operations, ensuring smooth communication, and maintaining an efficient work environment. The ideal candidate will possess strong administrative skills, excellent customer service abilities, and proficiency with various office software and systems. Bilingual skills are a plus, as well as experience with office management and clerical tasks. Responsibilities Manage front desk duties, including greeting visitors and handling inquiries with professional phone etiquette Operate multi-line phone systems to direct calls efficiently and provide excellent customer support Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office software Schedule appointments, manage calendars, and coordinate meetings for staff or clients Handle filing, document proofreading, and general administrative tasks such as photocopying and scanning documents Assist with bookkeeping tasks using QuickBooks, Appfolio or similar accounting software Support office management activities including organizing supplies, managing correspondence, and maintaining organized workspaces Provide clerical support for various departments as needed, including typing reports and preparing presentations Ensure timely completion of tasks by practicing effective time management and organizational skills Qualifications Experience in an office environment or administrative role, including clerical or receptionist duties Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills Familiarity with calendar management tools, and multi-line phone systems is preferred Excellent organizational skills with the ability to prioritize tasks effectively Outstanding customer service skills with professional phone etiquette; bilingual abilities are a plus Attention to detail for proofreading and document accuracy Ability to handle confidential information discreetly and maintain professionalism at all times Previous experience as a receptionist or personal assistant is advantageous but not required Strong typing skills and familiarity with office management procedures are desirable This position provides an engaging opportunity for candidates eager to contribute to a dynamic office environment while honing their administrative expertise.
