Administrative AssistantResponsibilities:Provide administrative support to the Senior Manager and Retired Members Department (RMD) CoordinatorsAnswer and direct phone calls, manage emails, and handle incoming and outgoing mailCoordinate in-person and virtual meetings via Zoom/Teams, manage shared calendars, and arrange meeting rooms and catering as necessaryOrganize and book travel accommodations for staff and management, following the Fund's guidelinesAssist in proofreading and preparing quarterly communications to retirees and assist with the preparation of monthly activity reportsProofread all forms of communication and electronically file Oracle submissions, documents, memos, and communication shared internally/externallyMonitor and maintain office supplies, ensure equipment is operational, and coordinate service and repairs with vendorsPrepare meeting minutes and agendasMaintain shared drive information, databases, contact lists, and other important informationQualifications:High School Diploma or GED required; minimum one (1) year of administrative experience in a general office environment requiredWorking knowledge of Benefit and Pension Funds BenefitsKnowledge of Retiree Health Pension Benefits, Retiree Members Programs and ActivitiesExcellent verbal and written communication skills: must be able to establish priorities, meet deadlines and multi-taskBasic skill level in MS Office Suite, Oracle, IronCladMust be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demandsMust be able to work with older individuals, have empathy and patienceMust be able to interact and communicate with individuals at all levels of the organization in a professional manner
