Function:
Program Supervisor oversees the overall financial health and project success of a portfolio of accounts. The Program Supervisor is also responsible for acting as a consultant/advisor to the Project Managers in guiding them through complex deliverables.

Program manager oversees groups of business ensuring the centralized management of account groupings/portfolio projects to achieve strategic objectives. Group lead, enables management to meet organizational objectives and goals through efficient decision-making across multiple lines of business. Establishes consistency and replicable processes. Works 1:1 with PMs, adhering to agency/PM guidelines and staffing/labor oversight with DSA (Director of Systems + Analysis) support. Reports to VP/DPM.
Duties and Responsibilities
Support and facilitate portfolio governance and oversight of a group of defined accounts
Management of AOR/OOS labor reporting and analysis, billing oversight, risk management
Provide coaching and training to project managers and account leadership to help them to understand project evaluation criteria
Meet regularly with Resource Management to negotiate and coordinate resource conflicts
Ensure project portfolio stays aligned with business objectives and scope defined
Identify lessons-learned (Sunsets) and continually refine the portfolio management process
Foster a collaborative effort that enables neighborhood leadership and senior executives to reach agreement on portfolio objectives
Responsible for ensuring all deadlines are met, project budget is monitored, and stakeholders are informed of status at all stages·
Coordinate workload and priorities with PMs assigned to brands within the Program Manager’s portfolio
Manage weekly PM team meetings (specific to brands) to discuss project details – including risk management, task prioritization and scope changes
Lead weekly resource meetings with Talent Manager
Consultant and mentor to PMs while assisting on complex deliverables
Continually help to up-level the PMs with their overall skills & agency process
Meet regularly with Production Leads to improve workflows and efficiencies

Partner with DPM on SOW and Staffing Plan development
Responsible for creating project estimates in collaboration with internal stakeholders
Assist PM team in creating/reviewing project estimates
Assist PM in tracking actuals against project estimates
Responsible for impact analysis for scope change on assigned projects leading to collaboration with Account Team to determine next steps
Attend/run bi-monthly finance/billing meetings with account
Responsible for review of client burn reports within the portfolio to ensure portfolio success and/or collaboration with Account Directors on adjustments as needed to align client scope with financial compensation
Contributing to the Department
Attend and actively participate in monthly department meetings
Contribute ideas to the betterment of the department - developing and participating in department initiatives, supporting continuous improvement
Mentor, share ideas and collaborate with your peers
Responsible for training and ongoing mentorship of new hires
Assist with overflow workload and provide peer coverage when needed
Required Experience Skills and Abilities
8-10 years experience as a Sr Project Manager, Supervisor, or similar in advertising/marketing industry
Proficiency in MS Office applications including Microsoft Excel, Google Drive, Adobe Creative Suite, Google Suite, Smartsheet, EAS and other agency tools
Excellent communication skills (verbal and written)
Supervisory Responsibilities
Directly supervise Senior PM, Project Managers and Associate Project Managers
