Administrative Associate, Health Sciences
We are seeking a highly organized, proactive, and service-oriented Administrative Associate to support the Health Sciences division. This role is central to the day-to-day operations of the division, serving as a key partner to the Division VP while ensuring a seamless experience for students, faculty, and staff.

Minimum Qualifications
Required
High School Diploma or GED
Two (2+) years of administrative support or customer service experience
Strong proficiency in Microsoft Office (Word, Excel, etc.)
Excellent communication skills with strong attention to detail
Preferred Qualifications
Preferred
Associate's degree from an accredited institution
Experience in a higher education or academic environment
Familiarity with student information systems (e.g., Colleague)
Essential Duties
Essential Job Duties and Responsibilities: including the following and other duties as needed.
Provide high-level administrative support to the Division Dean and oversee daily office operations
Serve as the first point of contact for students, faculty, and visitors, delivering a professional and welcoming experience
Support communication by sharing deadlines, announcements, and key updates
Maintain accurate records, including personnel files, attendance, and compliance documentation
Manage complex calendars, meetings, and scheduling for the division
Organize and maintain files for divisional records, including attendance and compliance
Work with Auditor and faculty to complete attendance reports at the end of each semester
Collect, update, and distribute divisional repots and informational resources
Coordinate with staff assistants to plan and prepare for divisional events
Collaborate with Records office to gather and report students transcripts at the end of each semester
Coordinate with Strategic Innovation/Evaluation department to complete ICR report each semester
Compile semester data for FTE report to the Dean of Health Technologies
Coordinate program reporting of Academic Review at the end of each semester.
Prepare and deliver report to Vice-President of Student Academic Success, Financial Aid Office, and divisional Retention Manager
