Billing Coordinator
Overview A law firm is seeking a Billing Coordinator to join its New Jersey office. This role is responsible for supporting the firm's billing operations by ensuring accurate, timely, and compliant invoice processing in accordance with client guidelines and firm policies. The ideal candidate will be detail-oriented, highly organized, and capable of managing a high volume of billing activity in a fast-paced professional services environment. ResponsibilitiesPrepare, review, and edit client invoices in accordance with firm policies and client-specific billing guidelinesProcess and manage electronic billing (e-billing) submissions through client platformsVerify the accuracy of billing data, ensuring all time entries and expenses are properly captured and allocatedCollaborate with attorneys, paralegals, and staff to resolve billing discrepancies and address inquiriesRespond to client questions regarding invoices, payments, and billing statusProcess write-offs and adjustments in accordance with firm policiesHandle complex billing scenarios, including split-party billing, multiple discounts, and customized billing formatsManage a high volume of monthly billing while meeting deadlinesMaintain and review supporting billing documentation for accuracy and complianceDevelop and implement new billing formats as requiredAssist in preparing monthly and quarterly billing reports for internal review RequirementsMinimum of 3+ years of hands-on billing experience within a law firmExperience with legal billing/accounting systems (e.g., Elite 3E, Aderant, or similar platforms)Proficiency in Microsoft Office SuiteStrong organizational skills with the ability to manage multiple prioritiesHigh attention to detail and accuracyAbility to work efficiently in a fast-paced, deadline-driven environmentStrong communication and interpersonal skills, with the ability to work effectively across teamsAbility to work independently, anticipate needs, and follow through with minimal supervisionFlexibility to adapt to changing priorities and, when necessary, work extended hours
