Known for our commitment to quality, efficiency, and service excellence, we partner with contractors and project teams to deliver reliable and compliant glass systems for complex construction projects.Position OverviewThe Contract and Billing Administrator (Glass and Glazing Projects) manages job setup, billing, compliance, and documentation processes from project kickoff through closeout. This role works closely with project managers, accounting, and general contractors by ensuring accurate records, timely billing, and full contractual compliance.Key ResponsibilitiesSetup & Project AdministrationSet up new jobs and subcontracts in project management and accounting systemsTransition estimating files into active project filesMaintain complete and accurate project documentation throughout the job lifecycleBilling & Financial ManagementCreate and maintain Schedules of Values (SOV)Prepare, submit, and enter monthly pay applications to ensure timely and accurate project billingProcess change orders and job cost adjustmentsCoordinate billing, payments, and deposits in collaboration with project management and accountingCompliance & DocumentationManage lien waivers, notarizations, and pre-lien noticesTrack certified payroll and OCIP/CCIP compliance requirementsPrepare and issue bonds and certificates of insuranceReview contracts to verify documentation and insurance complianceCoordination & ReportingProvide required job documentation, photos, and reports to contractors and vendorsSupport project closeout documentation and record retention requirementsQualificationsEducationAssociate’s or Bachelor’s degree in Accounting, Business, Construction Management, or equivalent experienceExperience2+ years of experience in construction accounting, billing, or project coordinationTechnical SkillsProficiency in Microsoft Office, particularly ExcelExperience with Bluebeam and construction accounting and/or job cost software (e.g., Viewpoint Vista, Vista Web)Familiar with other Microsoft Applications (e.g., SharePoint, Power Automate)Professional SkillsStrong organizational, communication, and problem-solving abilitiesAbility to manage multiple deadlines across active construction projects while maintaining accuracy and complianceWhat We OfferCompetitive salary and comprehensive benefits packageOpportunities for professional growth and developmentCollaborative, team-oriented work environmentInvolvement in high-impact and innovative construction projectsWe are an equal opportunity employer: All qualified applicants will receive consideration for employment without regard to race, color, religion, sex, gender identity, sexual orientation, national origin, disability or protected veteran status.
