We work with many of the most respected venues, hotels, and event planners throughout Texas.Position OverviewThe Event Sales Coordinator is a sales-focused role responsible primarily for managing inbound event inquiries and generating repeat business from past customers.Approximately 70% of this role focuses on inbound lead conversion and client rebookings, while 30% focuses on maintaining relationships with venues and event planners to support long-term referral growth.This position manages event opportunities from initial inquiry through confirmed booking, ensuring accurate order details, strong communication, and seamless coordination with internal teams.Success in this role requires:Strong inbound sales conversionConsistent follow-up with past clientsOrganized CRM managementProfessional relationship building with venues and plannersKey ResponsibilitiesInbound Lead Management and Conversion as a primary focusRespond to and convert inbound event inquiries from customers, venues, and partners.Responsibilities include:Responding promptly to inbound inquiries via phone, email, and website formsQualifying customer needs including event type, guest count, venue, and entertainment preferencesPresenting casino entertainment packages that match the client's event goalsPreparing and delivering quotes to prospective clientsMaintaining consistent follow-up until the event is confirmed or closedProviding clear communication throughout the booking processClient Relationship Management and RebookingsMaintain relationships with past clients and encourage repeat bookings.Responsibilities include:Following up with past customers to generate repeat eventsMaintaining relationships with corporate clients, event organizers, and returning customersIdentifying opportunities for annual events, recurring parties, or repeat bookingsReaching out to previous clients ahead of typical event seasons to generate additional bookingsVenue and Event Planner Relationships (Secondary Focus)Develop and maintain relationships with venues, hotels, and professional event planners.Responsibilities include:Maintaining communication with existing venue partnersBuilding new relationships with venues and planners in the local marketAttending venue walkthroughs, open houses, or networking events when beneficialPositioning White Felt Casino Events as a trusted entertainment vendorEncouraging referrals and repeat partnerships from venuesSales Execution and Event BookingManage event opportunities from initial inquiry through confirmed booking.Responsibilities include:Guiding clients through the booking processConfirming event logistics and entertainment selectionsIdentifying opportunities for upsells such as additional games or upgradesEnsuring all event details are accurate prior to confirmationCRM Management and Order AccuracyMaintain accurate sales records within HubSpot to support operations and reporting.Responsibilities include:Managing all deals within HubSpot from inquiry through booked eventEntering and maintaining accurate event details including:Event date, time, and locationVenue contact informationGame selections, quantities, and add-onsEstimated guest countLoad-in and load-out timing requirementsVenue rules or special requestsLogging all inbound inquiries promptlyMaintaining clear notes, emails, and documentation within deal recordsUsing HubSpot tasks and reminders for follow-ups and repeat outreachReviewing deal accuracy prior to event execution to prevent fulfillment issuesMaintaining CRM hygiene to support reporting and forecastingEvent Coordination and On-Site SupportSupport successful event execution by coordinating with internal teams.Responsibilities include:Communicating event details to operations and staffing teamsEnsuring information entered in HubSpot supports accurate event fulfillmentAttending select events to support client satisfaction and venue relationshipsRepresenting White Felt Casino Events professionally on-site when neededKey Performance IndicatorsSuccess in this role will be measured by:Inbound lead response time and conversion rateRevenue generated from inbound leadsRevenue generated from repeat customersClosed-won revenue and overall sales performanceMaintaining a minimum close rate target of 65%CRM accuracy and deal hygieneGrowth of repeat bookings and client retentionQualifications and SkillsStrong sales and communication skillsAbility to convert inbound leads into confirmed bookingsExcellent relationship-building ability with clients and partnersExperience in event sales, hospitality, or event planning preferredHighly organized with strong attention to detailSelf-motivated and comfortable owning outcomesAbility to manage multiple deals simultaneouslyExperience using CRM systems (HubSpot preferred)Proficiency with standard office softwareWork Schedule and ExpectationsFull-Time, 50% Salary / 50% Commission PositionMonday – Friday8:30 AM – 5:00 PM (In-Office)CompensationOTE: $90,000 to $120,000Employment Type - Full-Time, In-Office, Light HybridAdditional expectations include:Occasional evenings or weekends for events or networking opportunitiesResponsiveness to inbound inquiries during business hoursMonitoring and responding to urgent inbound inquiries after hours when necessaryMaintaining consistent follow-up and outreach to support booking goalsAs a salaried role, this position is expected to operate with a professional level of ownership and flexibility to ensure successful event execution and client satisfaction.Benefits:Paid time offHealth InsuranceWork Location: In person
