Project Coordinator I-Neurosurgery

DescriptionThe Project Coordinator I will serve as a highly collaborative member of the Department of Neurosurgery, supporting communications, social media, physician promotion, event coordination, and special projects across clinical, research, and education initiatives. The Project Coordinator I follows projects through all phases by assisting in the development of project plans, ensuring adherence to the plans, and demonstrates flexibility and commitment in a fast-paced academic medical environment.ResponsibilitiesEstablishes the coordination of basic and moderately complex project activities and ensures the quality, timeliness, and integrity of ongoing projects and schedules.Works closely with the Chair of Neurosurgery, Senior Director of Marketing and Communications, other departmental leaders, faculty, residents, APPs, researchers, clinical and administrative leadership, patients, families, philanthropy, and industry partners. Establishes and maintains strong professional relationships across departments and external stakeholders.Plans, coordinates, films, edits, and publishes social media content across multiple platforms including LinkedIn, X, Instagram, TikTok, and Threads.Responsible for coordinating filming logistics, scheduling participants, developing scripts and interview questions, capturing video and photography content, editing long- and short-form media, writing captions, and ensuring timely publications.Creates compelling and visually engaging digital content to support departmental priorities, including physician highlights, patient stories, educational initiatives, research accomplishments, awareness campaigns, faculty appointments, conferences, and media-worthy surgical cases.Support in the coordination of departmental events, symposiums, webinars, continuing medical education, and industry programs. Assists with event logistics, promotional campaigns, communications, registration, and on-site support.Maintains digital directories and databases within the department.Develops and maintains a detailed project schedule which includes administrative tasks. Ensures adherence to deadlines.Ensures brand consistency and professionalism in all projects.Coordinates and leads assigned project activities ensuring that assignments are completed.Organizes, leads, and facilitates project-related meetings, including the creation of agendas and preparation of materials.Prepares and/or edits presentations, meeting minutes, and tables.Partners with marketing to facilitate and create social media posts, marketing and communications materials, patient stories, and media coordination.Maintains detailed records and documentation of project activity and may be responsible for developing uniform procedures for storing and keeping appropriate documentation. Provides feedback to communicate project findings as appropriate.Coordinates ordering, purchase orders, invoices, and vendor communication related to marketing materials, promotional items, and event needs while ensuring deadlines are met.May develop reports and other deliverables as assigned.Tracks project changes and produces updated schedules as required.Monitors project deliverables and timelines, notifies management when issues arise, and take corrective actions, as needed.Ensures all projects are completed by their deadlines.May coordinate ordering, follow up of receipts, and invoicing as necessary.May be responsible for conference travel planning, and departmental correspondence as it relates to the project.Will be responsible for communication with outside contractors and/or vendors and consultants as required by the project.Performs other related duties.QualificationsBachelors? degree required, preferably in Communications, Marketing, Public Relations, Journalism, Digital Media, Graphic Design, Health Care, or related field. 1 year of experience in marketing, communications, social media management, project coordination, event planning, health care marketing, or related experience preferred. Candidates may come from either a communications background with a strong interest in health care and patient-centered storytelling, or from a health care environment with demonstrated marketing, branding, and communications experience.Strong interpersonal and relationship-building skills with the ability to communicate professionally with faculty, leadership, industry partners, and multidisciplinary teams.Exceptional written and verbal communication skills, including interviewing, storytelling, editing, and professional correspondence.Highly organized, proactive, and detail oriented with the ability to manage multiple projects, shifting priorities, and tight deadlines simultaneously.Demonstrated experience with social media content creation, platform management, analytics, and engagement strategies across major social media platforms.Strong photography, videography, video editing, graphic design, and content development skills.Proficient in Adobe Creative Suite, including Adobe Premiere Pro, InDesign, Photoshop, and Canva/CapCut or similar editing platforms.Strong PowerPoint and presentation development skills.Comfortable working in clinical and operating room environments while maintaining professionalism and sensitivity around patient care.Ability to work independently while also thriving in a collaborative, fast-paced team environment. The salary range for the role is $66482.07 - $75000 Annually. Actual salaries depend on a variety of factors, including experience, education, and operational need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
