Office Manager

Role: Office Workplace ManagerLocation: Austin, Texas Duration: Long Term ContractOverview As an Office Workplace Manager, you will play a crucial role in cultivating the best experiences and highest engagement in a functional office environment. You will be accountable for the end-to-end success of the office environment, including various administrative tasks, managing projects, and ownership of deliverables within the team and for the employees, visitors, and vendors connected to the office environment - all in service to unmatched employee experience and engagement. Your level of engagement, commitment to success, and office management skills will be essential in maintaining an enticing and productive work atmosphere.You willCoordinate meetings, activities, conferences, and team/group offsite eventsOrganize the office and maintain inventory of supplies and consumable itemsMaintain the office condition and arrange necessary response/repairs with outside vendorsPartner with our People team to update and maintain office policies as necessaryDevelop and maintain office operations and proceduresCoordinate with IT department on all office equipmentTrack office-specific costs and invoice statusDrive vendor selection and contract negotiations with office vendors and service providersAddress employees' queries regarding office management issues (e.g. office supplies, improvements)Be the primary point of contact with facility management vendors, including cleaning, catering, and security servicesManage projects E2E, owning the project plan, working with cross-functional partners, and partnering with the Director of Real Estate Workplace Services and Senior Workplace Manager for final approvalCollaborate with other team members to develop policy and process improvementsDevelop subject matter expertise in workplace services contentMaintain and organize electronic records filing systems to ensure up-to-date informationWork with our vendors to solve high-level problems that require additional attentionDrive assessment and feedback on our core processes to help identify gaps as well as recommend opportunities to improve themMonitor and track our employee ticketing queue for service requests where additional expertise is requiredYou haveProven experience as an Office Manager, Front Office Manager or Administrative AssistantExpertise in Office management responsibilities, systems and proceduresProficiency in Google Workspace suite of office admin toolsDirect experience with typical office equipmentFamiliarity with email scheduling tools, like Google Calendar / OutlookExcellent time management skills and ability to multitask and prioritize workAttention to detail and problem-solving skillsExcellent written and verbal communication skillsStrong organizational and planning skills in a fast-paced environmentA creative, receptive mindset with an ability to suggest improvementsExperience as office administrator/office manager in a highly visible, fast-paced office environmentOccasional travel may be required as needed.
