Located in a northwestern suburb of Chicago, Medical Society Management, Inc. offers an informal, flexible office environment.OverviewWe are looking for a program manager to join our team to manage programs such as an annual scientific meeting and a world congress, conduct fundraising, and obtain and maintain ACCME accreditation for one client.Primary ResponsibilitiesManage the program side of an annual scientific meeting and world congress, working with the meeting planning team and registration team, adhering to ACCME rules and requirementsDevelop and manage the timelineWork with the program chair and graphic designer on the program identity and graphics, prompting and directing marketing asset development along the wayBuild, execute, and oversee the call for abstracts process through committee rating and selectionCreate the program outline with the program the chair leaning on needs assessment and evaluation dataCollect and manage disclosures of relevant financial relationshipsManage session developmentCommunicate with faculty –moderators, keynotes, oral and poster presenters, invited speakersManage the program onsiteCreate and execute post-meeting task listLiaise with physicians, staff, and vendors to organize all details of the programCoordinate with marketing staff; prompt and assist on marketing strategies; write copy and provide updates to members via eblasts and newslettersConduct fundraising o Cultivate relationships with corporate donorsPlan and manage fundraising campaignsWork with and engage relevant committeesResearch new fundraising opportunities and write grant proposals and applicationsMaintain accurate donor records and track fundraising activities and contributionsProject manage from writing and submitting letters of request, reviewing letters of agreement, invoicing and assuring payments, and fulfilling all obligationsObtain and maintain ACCME accreditation for one clientSchedule and manage Teams and Zoom meetings, as requiredParticipate in and present to the board of directors, as requiredStaff committees, as requestedEducation, Experience, Skills, Software RequiredBachelor’s Degree2 years of experience working with associations, preference with medical associationsMust have excellent written and verbal communication skillsMust be detail-oriented, possess a sense of urgency, and have superior organizational, collaboration, and follow up skillsExcellent budgeting skillsStrong project and program management skills and be able to manage several projects at once with many moving partsProject a professional image with strong business acumen and positivity/friendliness during customer interactions • Ability to adapt to changing prioritiesAbility to work outside standard business hours, as needed, including evenings and weekendsMust be extremely proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Adobe PDF, and ZoomProficiency in NoviAMS membership database software is a plusMust have a valid passportCultural competency is preferredTravelTravel required including international travel, and may be up to 1-3 times per year (plus/minus); includes working weekends and evenings when onsiteTo applyPlease email your resume and cover letter to Victoria Ceh at vceh@medicalsocietymanagement.com
