*Executive Assistant: Job Description*
The Executive Assistant will provide high-level administrative and operational support to the Executive Director (ED) & Deputy Director (DD), ensuring efficient day-to-day operations and enhancing the effectiveness of the Executive Office. This role requires superior organizational skills, exceptional communication abilities, a high level of discretion, and the capacity to manage a wide range of responsibilities with minimal supervision.

*Key Responsibilities*
* Co-Manage the ED & DD’s calendar, schedule appointments, coordinate meetings, and ensure appropriate preparation and follow-up.
* Plan, coordinate, and ensure the ED & DD’s schedule is followed and respected, acting as a gatekeeper and gateway for smooth day-to-day operations.
* Assist in the planning and execution of organizational meetings, retreats, convenings, and board meetings, including logistics, documentation, and coordination.
* Draft, edit, and proofread internal and external correspondence, memos, presentations, and reports on behalf of the ED & DD, including drafting contracts and memorandum of understanding.
* Prepare travel arrangements and itineraries; reconcile and submit expense reports in coordination with the Finance team.
* Conduct background research, compile data, and create briefing materials for meetings, speeches, and strategic initiatives.
* Assist in board matters including drafting and editing minutes,
* Maintain accurate filing systems, manage contact databases, and support general administrative tasks for the Executive Office.
* Support ED & DD’s engagement with key stakeholders, including funders, board members, civic leaders, and community partners.
* Maintain confidentiality and exercise sound judgment in all interactions and decisions.
*Qualifications*
* Minimum 5 years of experience providing executive-level support, preferably in a nonprofit, advocacy, or civic organization.
* Strong organizational skills and ability to prioritize multiple tasks seamlessly with excellent attention to detail.
* Exceptional written and verbal communication skills; ability to draft high-quality materials under tight deadlines.
* Technologically savvy with proficiency in Microsoft Sharepoint and Office Suite, Google Workspace, Zoom, and cloud-based project management tools.
* Ability to work independently and collaboratively in a fast-paced, mission-driven environment.
* High degree of professionalism in dealing with diverse groups of people including board members, senior executives, staff, and external partners.

*Work Environment & Compensation*
* This is a full-time position based in Mississippi. Occasional evening or weekend work may be required.
* Most work is done in an office-like environment, completing projects at a desk for extended periods and working with a computer.
* The employee may sometimes have to lift, push, and/or carry items above ten (10) pounds.
* The employee may need to move and/or stand for extended periods.

Pay: $45,000.00 - $55,000.00 per year
