He/she will coordinate the scheduling of technicians by receiving and replying to phone calls and emails. This person is also responsible for initiating and conducting the administrative functions of the Inspection department. They will be responsible for assisting and ensuring the clerical operation of a division is running smoothly. He/she will assist the Division Manager as well as other branch personnel including key managers in a variety of administrative roles.Job ResponsibilitiesCoordinate and schedule the dispatch of technicians and equipment to appropriate locations according to customer requests, specifications, or needs, using radios or telephones.Assist Inspections Department Manager by scheduling inspectionsCoordinate subcontractors to perform their portion of inspections when applicableRelay work orders, messages, and information to or from technicians, supervisors, and field inspectors.Work with customers to set up quarterly inspection schedules for the upcoming yearConfer with customers or supervising personnel in order to address questions, problems, and requests for service or equipmentPrepares and maintains accurate records and logs of all telephone calls and other records, files and information systemsAct as national accounts coordinator for the Inspection department and is responsible for retrieving work orders from various websites and distributing to the corresponding department contactsEnter, update and retrieve information via multiple computer programsAssist in sending out inspection reportsAssist in billing inspection jobs per office guidelinesAssist in certificate of insurance processingVarious duties which include assisting with scheduling, invoicing and collections on inspection projectsWorking hand in hand with Project Managers and Customers in a professional and courteous mannerAssist Project Managers with the setup, scheduling, invoicing and collections of new jobs/projectsWork with Customers and Inner Office Staff to keep projects moving forwardArrange and maintain various types of records including job filesAssist in completing special reporting and licensing requirementsComplete special projects as requiredAccomplish responsibilities as required using business software as approved by WSFPOffer suggestions and solutions on improving efficiency of general office proceduresOther duties as assigned Job QualificationsScheduling experience is requiredTwo years’ experience in the fire protection industry is a plusEfficient computer skills with working knowledge of Microsoft products such as Outlook, Word and ExcelPossess excellent written and verbal communication skillsGood customer service skills and a team attitude are essentialDetail oriented, Well-organized, proficient in multi-tasking and possesses time management skillsPuts forth a courteous, friendly, helpful attitude at all times when answering the phones and dealing with both other associates and customersWilling to pass a post-offer drug screen test and background checkThis position is accepting resumes on an ongoing basis.
