Your ResponsibilitiesRole OverviewThe Project Coordinator plays a critical role in supporting the execution and servicing of global and multinational insurance programs. This position is responsible for coordinating policy issuance, endorsements, invoicing, and documentation across multiple jurisdictions while maintaining accurate tracking of deliverables, timelines, and outstanding actions. The Project Coordinator serves as a central point of coordination between account servicing teams, local brokers, carriers, leadership, and internal support teams, ensuring the timely, accurate, and consistent delivery of client programs. Operational excellence is of the utmost importance, including following established workflows, procedures, and quality review standards to reduce execution risk and improve turnaround times; identifying opportunities to streamline processes and enhance efficiency, consistency, and quality control; and ensuring compliance with firm policies, procedures, and confidentiality requirements.Core Responsibilities – Construction & Design GroupData Management and TrackingMaintain accurate internal trackers and systems reflecting policy status, deliverables, timelines, and outstanding action items across all active programs. Ensure all client and program data is entered accurately and maintained throughout the policy lifecycle. Provide regular status updates and reporting to account management teams, clients, and leadership, as needed. Maintain organized records to support audits, stewardship reporting, and compliance requirements. Renewal Execution and Program Coordination Support renewal and post-bind workflows by managing documentation flow, confirmations, and follow-ups with local markets. Track execution milestones and follow up with internal teams and local markets to ensure policies are issued in accordance with agreed timelines and program design. Coordinate and track the execution of local and underlying policies, including issuance, endorsements, invoicing, premium documentation, and policy distribution. Monitor receipt of policy documents and endorsements, confirming completeness and accuracy prior to distribution. Support resolution of execution issues and outstanding requirements in coordination with carriers and local brokers. Assist with frontline contract insurance requirement reviews, as needed, to support compliance alignment and policy execution. Request, review, and track local evidence of insurance and coordinate related global requests with internal teams. Respond to routine internal and external inquiries related to policy execution, documentation, and program status. Assist with onboarding new clients and projects by organizing required documentation, execution requirements, timelines, and jurisdiction-specific considerations. Core Responsibilities – LGS OverallEnsure broker partner compensation allocation is in place for all clients & filed appropriately. Track payment status & troubleshoot any payment delays with accounting. Ensure allocation is audited at end of policy term & refreshed for go-forward term in tandem with account team. Review Salesforce data for all clients & flag outstanding issues, information gaps & potential system / tracking improvements. QualificationsSkills and CapabilitiesStrong organizational and time-management skills with the ability to manage multiple programs and competing deadlines. Working knowledge of insurance policies, endorsements, and related policy documentation. High attention to detail with a strong focus on accuracy and quality control. Strong written and verbal communication skills. Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint. Ability to work effectively in a fast-paced, globally coordinated environment.
