Position Summary
The Assistant to the President provides high-level administrative and operational support to the President of the College and plays a critical role in ensuring students have timely access to all required instructional resources. The primary responsibility of this position is the ordering, processing, inventory management, and distribution of all student books and required academic materials, ensuring students are fully prepared for orientation, coursework, and program progression.
In addition to overseeing student resources, this role supports admissions reporting, marketing coordination, executive administration, and student engagement activities in a fast-paced higher education environment.
Key Responsibilities
Primary Responsibility: Student Books, Resources & Inventory
Serve as the primary owner of the student book process for all programs and cohorts
Order, process, track, and manage inventory for all student books and required instructional materials
Maintain and update the official college booklist for each program and term
Coordinate the timely release and distribution of books and laptops to students
Verify that all students receive required books and resources prior to the start of each term
Troubleshoot and resolve book access issues promptly, serving as the main point of contact for students and staff
Coordinate book setup and distribution for student orientations
Monitor inventory levels, forecast needs, and work with vendors to prevent delays or shortages
Admissions, Reporting & Marketing Support
Prepare and distribute weekly admissions reports
Generate weekly lead and enrollment reports for leadership review
Assist with advertising buys, including coordination with vendors and tracking campaigns
Support admissions-related documents and information sessions
Assist with database reports related to admissions and enrollment trends
Executive & Administrative Support
Provide direct administrative support to the President across admissions, academics, and operations
Manage the President’s daily schedule, meetings, and calendars
Attend staff meetings and record accurate meeting minutes
Create, edit, and modify institutional documents and correspondence
Provide front desk administrative support when needed
Student Engagement & Events
Assist with student orientations, including materials preparation and logistical setup
Assist with graduations and student activities
Provide assistance and support to students when requested
Other
Perform other duties as assigned to support the effective operation of the College
Qualifications
Associate or bachelor’s degree preferred
Prior experience in higher education, administrative support, admissions, or operations preferred
Demonstrated experience managing inventory, ordering processes, or vendor coordination preferred
Strong organizational skills with exceptional attention to detail
Excellent written and verbal communication skills
Ability to manage multiple priorities independently and collaboratively
Proficiency with databases, reporting tools, and office technology
