POSITION TYPE: 12-month
START DATE: July 2026
COMPENSATION: $26.40 - $31.68/hour, Home Office Grade 4

THE OPPORTUNITY
YES Prep needs a dynamic Legal Support Coordinator with a robust set of experiences, to make our mission a reality. As a YES Prep employee, you will achieve jaw-dropping results, create pathways to opportunity for our students, and build transformative relationships.
To put it simply, you will keep the organization's legal work organized, documented, and moving forward. This role manages contract workflows, supports Title IX and investigation processes, conducts legal research, and ensures required steps and timelines are followed. It's ideal for someone who enjoys detail-oriented work, building reliable systems, and supporting complex matters behind the scenes.
THE ROLE
When you join the YES Prep team, some of the work and responsibilities will include:
Contract Lifecycle Management
Owning the end-to-end contract lifecycle workflow: intake, routing for Director review, approval tracking, execution, and archiving;
Maintaining a centralized contract register with status, key dates, renewal timelines, and approval milestones, surfacing upcoming deadlines to the Director on a defined schedule;
Preparing, tracking, and organizing contracts throughout the approval lifecycle;
Maintaining contract records and support Board approval processes;
Drafting routine legal documents (e.g., standard agreements, notices, form letters) in alignment with established templates, policies, and Director-approved standards; escalating any non-routine or novel documents to the Director before issuance;
Maintaining records retention policy and procedures;
Flagging any contracts approaching renewal, expiration, or requiring amendment and initiating the renewal workflow with sufficient lead time for Director review.
SOP & Policy Maintenance
Owning version control and maintenance of legal operations SOPs, policy templates, and compliance documentation, surfacing documents requiring update to the Director on a defined review cycle;
Drafting first versions and annual updates of standard legal operations SOPs for Director review and approval;
Maintaining an SOP and policy library with current versions, effective dates, and next review dates, ensuring nothing goes stale without Director awareness;
Coordinating cross-functional input on policy drafts as directed, gathering feedback from stakeholders and consolidating for Director review.
Legal Matter Intake & Tracking
Serving as the single intake point for all incoming formal legal matters, including complaints, subpoenas, custody orders, legal notices, and agency inquiries;
Opening a file, assigning a tracking number, setting the response timeline, and routing each matter to the Director within one business day of receipt;
Maintaining a unified legal matter log with status, deadlines, assigned owner, and required next steps, providing the Director with a weekly status snapshot;
Tracking and coordinating formal complaints, including documentation, timelines, and required responses; escalate all matters with potential legal exposure, media risk, or precedent-setting implications to the Director immediately upon identification;
Supporting responses to subpoenas, custody orders, and legal notices in alignment with established templates, policies, and regulatory requirements;
Coordinating document collection, redaction, and production;
Providing document production support to the Compliance Coordinator on PIR responses as assigned; the Compliance Coordinator holds primary ownership of PIR workflow.
Legal Research & Case Support
Conducting legal and regulatory research;
Research does not include providing legal opinions or compliance determinations; findings are surfaced to the Director for all risk or interpretation decisions
Tracking and coordinating formal complaints, including documentation, timelines, and required responses; escalating high-risk or complex matters to the Director;
Supporting responses to subpoenas, custody orders, and legal notices in alignment with established templates, policies, and regulatory requirements;
Coordinating document collection, redaction, and production.
Title IX & Investigation Process Support
Managing Title IX case intake, tracking, and timelines;
Ensuring required notices and documentation are completed;
Coordinating with campus and HR investigators (no fact-finding);
Supporting process and documentation for personnel and student investigations;
Maintaining audit-ready legal and investigation files.
This role supports Title IX process administration only and does not serve as YES Prep's designated Title IX Coordinator under 34 CFR §106.8; all determinations and formal notifications are made by or under the direction of the designated Coordinator
Compliance & Legal Training Coordination
Coordinating logistics for all legal and compliance training initiatives led by the Director, including scheduling, participant communication, materials preparation, and room or platform setup;
Maintaining training completion records and track participation against required timelines, flagging gaps to the Director;
Preparing and organizing training materials, presentation decks, and reference guides as directed, maintaining a current library of training resources;
Coordinating any follow-up actions or acknowledgment requirements after training delivery.
External Counsel Coordination
Serving as the operational point of contact for external counsel engagements: coordinating scheduling, transmitting documents, tracking deliverables, and managing communication logistics;
Tracking all active outside counsel matters, deadlines, and open items, providing the Director with a regular status update;
Processing and routing external counsel invoices for Director approval, verifying that billed services align with approved scope before submission;
Maintaining organized files for each outside counsel engagement, including engagement letters, correspondence, invoices, and deliverables.
This role does not independently direct, authorize, or engage outside counsel; all decisions regarding scope and engagement are made by the Director.

THE MUST HAVES
Bachelor's degree from an accredited institution or equivalent relevant work experience
Paralegal certificate from an ABA-approved or accredited program or 2+ years of paralegal/legal operations experience
3-5 years of experience in a legal, compliance, or paralegal role, with demonstrated ability to manage multiple active matters simultaneously
Familiarity with legal and regulatory requirements related to education, public information, and confidentiality (e.g., FERPA, TPIA/FOIA, Title IX processes)
Experience drafting, reviewing, or organizing contracts and legal documents
Experience managing case files, deadlines, and documentation systems
Experience conducting legal or regulatory research and summarizing findings
Familiarity with records management and document production (including redaction)
Experience managing or coordinating contract lifecycle workflows, including tracking approvals, renewals, and execution
Demonstrated ability to build and maintain organized tracking systems for multiple concurrent matters with competing deadlines
Exceptional organization and attention to detail
Strong written communication skills
Ability to manage multiple deadlines and prioritize independently
Discretion and ability to handle sensitive/confidential information

THE NICE TO HAVES
Paralegal certification (CP, ACP, or equivalent)
Master's degree in Legal Studies, Public Administration, or related field
Title IX investigator or coordinator training (process-focused)
Records management certification (CRM)
Training in contract lifecycle management systems
Experience working in K-12 education, higher education, or public sector
Bilingual - Spanish
THE PERKS
Compensation - This position is an hourly, non-exempt position; offers commensurate with experience.
Health and Supplemental Insurance - A $0 monthly medical option or a $24 monthly option that includes $50 YES Prep Paid Health Savings Account contribution, in addition to a variety of supplemental benefits including Dental, Vision, Disability, Life, etc. Employees must work 20+ hours a week to be eligible for a full spectrum of benefits, and 10 hours a week minimum for medical benefits.
