Administrative Assistant (AP/AR Backup Support)
Position Summary
The Administrative Assistant is responsible for providing day-to-day administrative and clerical support to ensure smooth and efficient office operations. This position will serve as backup support for Accounts Payable and Accounts Receivable functions, assisting the accounting team as needed while maintaining a strong focus on administrative responsibilities.
Key Responsibilities
Primary Responsibilities – Administrative Support
Answer and direct phone calls, emails, and general correspondence
Prepare, format, and distribute documents, reports, and correspondence
Maintain organized electronic and physical filing systems
Assist with onboarding paperwork and general HR-related administrative tasks
Support management and staff with various administrative projects
Greet visitors and provide general office support
Perform data entry and filing related to accounting records
Provide backup assistance for Accounts Payable and Accounts Receivable functions during absences or peak periods
Maintain confidentiality of financial and company information
Qualifications & Skills
High school diploma or equivalent required; additional education in business or accounting is a plus
Previous administrative experience required; accounting experience a plus
Strong organizational and time management skills
High level of attention to detail and accuracy
Proficiency with Microsoft Office (Excel, Word, Outlook); accounting software experience a plus
Ability to prioritize tasks and adapt to changing needs
Strong communication and customer service skills
Work Environment & Expectations
Office-based position with standard business hours
May occasionally assist with time-sensitive accounting deadlines
Expected hours: 40.0 per week
