Group Sales Admin.

Primary Role and Requirements: Assist the Group Sales---Director of Sales and Conference Services team with daily administrative duties and client communication. Group Sales Support Responsibilities:Act as lead catcher for all group inquiries and assign these to the correct Sales ManagerEnter inquiries and booking leads into Delphi, capturing all event and room block detailsComplete RFPs in Cvent, LA Tourism, and additional booking platformsMerge contracts and addendums, ensuring the room block and rates as well as all event space timing, location and pricing are accurateKeep information in Delphi up to date to reflect changes and for proper forecasting Answer client phone calls and inquiry emails in a professional mannerGenerate reports including weekly GRC Reports, Booking Pace, Quarterly BreakdownEnter reservations in Opera including traces, comments, cancellation policy, etc.Coordinate billing and deposits for reservations and groups with Accounting departmentFinalize expense reports for Sales Managers Maintain files for VIP guests, producing a VIP resume and handling any special requestsConduct competitive set calls as neededProcess requisitions and amenitiesProficiency with Microsoft Word, Excel, and OutlookExperience with and understanding of Opera and DelphiAble to work in a fast-paced environment, meeting deadlines and completing tasks as requestedConference Services Support Responsibilities:Process group turnover once group contracts are signed and deposit receivedAssist with group resumes, amenities, and BEO'sCross support all assistants in Sales & Catering when neededAssist in communicating key group details with other departments to ensure the success of group room blocks and events
