We are seeking an Administrative Assistant to support our Project Management Office during a major ERP implementation and operational transition over the next 6 to 8 months. This role will work directly with the Project Manager and project team to help keep projects organized, documentation current, meetings coordinated, and open items moving forward. A person who enjoys bringing structure and organization to information and workflows. What the role will look like: Stable work schedule: 7:00 AM–4:00 PM, Monday–Friday. Support the Project Manager and Project Management Office with day-to-day project administration. Maintain some standard daily data entry functions in the current ERP. Maintain project files, schedules, records, trackers, and supporting documentation. Track action items, deadlines, project milestones, deliverables, and outstanding requests. Follow up with employees, departments, vendors, and consultants regarding open items, documentation, approvals, and assigned tasks. Assist with ERP implementation documentation, testing records, issue logs, decision logs, and training materials. Help document current and future business processes and workflows. Assist with data cleanup, validation, and system transition activities. Prepare and organize spreadsheets, reports, presentations, correspondence, and other project materials. Assist with creating and updating SOPs, work instructions, forms, process maps, and other business documentation. Review documents and information for completeness, consistency, accuracy, and formatting. Identify delays, missing information, overdue items, or unresolved issues and bring them to the Project Manager's attention. Assist with improving administrative procedures, documentation practices, and workflows. Take on other related duties and special projects as assigned. Qualifications Required 1+ year of administrative, project support, office, or coordination experience. Strong organizational and time-management skills. Excellent attention to detail and commitment to accuracy. Strong written and verbal communication skills. Ability to manage multiple assignments and deadlines. Strong follow-through and accountability. Comfortable taking direction and then working independently on assigned tasks. Ability to recognize when an issue needs to be escalated. Comfortable learning new systems, software, procedures, and business processes. Professional, reliable, adaptable, and comfortable working with different personalities. Proficiency with Microsoft Outlook, Word, Excel, Teams, and PowerPoint. Associate degree in business administration, project management, information systems, or a related field (I'm flexible on this, I care more about skill, mindset and ethic) Nice to have Experience supporting a project team, department, manager, system implementation, or business process initiative. Experience with Microsoft 365 Suite, SharePoint or Microsoft Planner. Experience working with ERP systems. Experience with project management or document management software. Experience with workflow or process-mapping tools. Experience creating SOPs, work instructions, or other business documentation. Experience using AI tools such as Microsoft Copilot, ChatGPT, Claude, or similar platforms. You do need to be willing to learn, ask good questions, keep accurate records, communicate clearly, and take ownership of the work assigned to you. Compensation & Assignment Hourly: $22.00–$24.00, depending on qualifications and experience. Temporary, full-time position. Expected duration of approximately 6–8 months. The assignment may be shortened or extended depending on project timelines, business needs, performance, and the continuing need for the position.
