Front Desk Associate
Position SummaryThe Front Desk Associate serves as the first point of contact at headquarters and is responsible for creating a professional, welcoming, and highly functional workplace environment. This role blends front desk reception, office services, and facilities coordination, along with administrative support for Executive Assistants and leadership.Key ResponsibilitiesReception & Front-of-House OperationsServe as the primary point of contact for employees, visitors, and vendorsManage visitor registration, badging, and security protocolsAnswer and direct incoming calls, emails, and general inquiriesMaintain a clean, organized, and professional reception and lobby areaReceive, sort, and manage incoming mail, packages, and deliveriesFacilities CoordinationCreate and manage work orders for maintenance and repair needsCoordinate vendor and contractor access to the facilitySupport seating assignments, workspace tracking, and related documentationMonitor and restock office and workplace suppliesAssist with office moves, reconfigurations, and space planning activitiesSubmit purchase requisitions to support work orders and facility needsExecutive & Administrative SupportProvide support to C-Suite Executive AssistantsCoordinate meetings, conference room setup, and catering arrangementsAssist with leadership visits, internal events, and special projectsMaintain a high level of confidentiality, professionalism, and discretionVendor & Service CoordinationCoordinate service providers and external vendorsSupport contractor onboarding and schedulingTrack service requests and ensure timely completionQualificationsEducationHigh school diploma or equivalent requiredExperienceMinimum of 2+ years of relevant experience in administrative, facilities, or office support rolesPreferred QualificationsExperience supporting executive-level stakeholdersExperience with facilities coordination or vendor managementFamiliarity with workplace tools such as Microsoft Outlook, Excel, and Teams
