Receptionist/Administrative Assistant
Job Summary

Duties
Greet visitors warmly and professionally, managing front desk operations with enthusiasm and efficiency
Answer multi-line phone systems promptly, directing calls accurately and courteously while practicing excellent phone etiquette
Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office Outlook
Perform data entry, maintain filing systems, and ensure all records are accurate and up-to-date
Assist with basic bookkeeping tasks using QuickBooks or similar accounting software to support office financial processes
Provide exceptional customer service by addressing inquiries, supporting clients or patients, and resolving issues promptly
Support office management tasks such as supply ordering, inventory tracking, and maintaining a clean, organized workspace
Proofread correspondence, documents, and reports to ensure clarity and professionalism before distribution
Handle clerical duties including photocopying, scanning, mailing, and document preparation with precision
Support personal assistant responsibilities such as travel arrangements or special project coordination when needed
Skills
Proven experience in office administration or clerical roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Familiarity with multi-line phone systems and excellent phone etiquette skills
Experience with QuickBooks or other bookkeeping software is highly desirable
Bilingual abilities to communicate effectively with diverse populations are a plus
Strong computer literacy including data entry, proofreading, and document management
Exceptional time management skills to prioritize tasks efficiently in a busy environment
Previous experience as a receptionist in medical or dental offices is advantageous but not required
Demonstrated customer service skills with a friendly yet professional demeanor
Ability to handle sensitive information discreetly with confidentiality and integrity
Personal assistant experience or office management background will be considered an asset
