Job Description Job TitleMarketing & Sales Support SpecialistDepartmentOperation's Dept.CompanyWarehouse Sales and Services, LLC & Better Planet, LLCReports ToFinance and Operation's ManagerPosition SummaryThe Marketing & Sales Support Specialist provides cross-functional administrative, analytical, customer-facing, and operational support across Sales, Marketing, Customer Service, Warehouse, and EV Service Operations for both Warehouse Sales and Services, LLC and Better Planet, LLC.This role serves as a central coordination point between customers, sales, warehouse technicians, service operations, and inter-company stakeholders. The position supports service and sales execution, customer experience, technician scheduling, inventory coordination, and service and EV unit renewal and rebuild processes. Training will be provided on all our value propositions.The ideal candidate is highly organized, detail-oriented, proactive, comfortable working across multiple departments, and capable of managing competing priorities in a fast-paced environment.Key ResponsibilitiesSales, Marketing & Lead GenerationGenerate new leads through outbound outreach (calls, email, LinkedIn, direct mail)Build and manage prospect lists using CRM and data toolsQualify leads and identify opportunitiesMaintain and update CRM (HubSpot)Develop, document, and follow Sales and Marketing Standard Operating Procedures (SOPs) and Work Instructions (WIs)Conduct market research, competitive analysis, and data mining using Google, AI tools, ZoomInfo, and other databasesAssist with development and testing of competitive value propositionsSales Support & Deal ExecutionSchedule meetings for Field Service Advisors, Technician's and s personnelCoordinate meetings and sales activitiesPrepare quotes, proposals, and sales presentationsIssue customer quotes and follow up to support deal conversionEnter and manage customer orders in internal systemsExecute structured follow-up systems to move deals forwardTrain employees on sales and marketing processes, tools, and workflowsSupport outside sales personnel with administrative and operational needsCustomer Service & CommunicationAnswer incoming sales calls and respond to customer emailsServe as a primary point of contact for customer inquiries related to products, services, maintenance, and supportAct as a liaison between customers and internal teams (Sales, Warehouse, Service, and Operations)Support inter-company coordination between Warehouse Sales and Services, LLC and Better Planet, LLCRoute issues to appropriate departments and ensure follow-through to resolutionWarehouse, EV & Service Operations SupportAssist with scheduling technicians and coordinating work ordersSupport tracking of inventory, parts, and EV unit availabilityDevelop working knowledge of EV units, components, and parts (training provided)Assist with coordination of EV unit renewal and rebuild processes, including documentation and internal communicationEnsure service documentation, work orders, and inventory records are accurate and completeSupport development and maintenance of SOPs and WIs related to warehouse and service operationsAnalytics, Reporting & Performance TrackingTrack and report on KPIs and campaign performanceManage CRM reporting and generate sales, marketing, and operational reportsAnalyze data to improve efficiency, customer experience, and sales outcomesSupport A/B testing of value propositions, marketing materials, and sales strategiesUse analytics to support leadership decision-making and process improvementGeneral AdministrationAnswer phones and route calls appropriatelyMaintain organized records, files, and documentationOrder operational suppliesSchedule service calls, shipments, and related activitiesAssist with procurement and general office operations as neededTrain others on administrative and office processesOpen and close the office when requiredQualificationsPrevious experience in sales support, operations coordination, marketing administration, customer service, or similar roles preferredStrong written and verbal communication skillsProficiency with CRM systems (HubSpot), Microsoft Office Suite, ZoomInfo, and general office softwareStrong organizational, multitasking, and time-management skillsAnalytical mindset with comfort working with data and reporting toolsAbility and willingness to learn EV systems, parts, and renewal processesProfessional, reliable, and customer-focused approachWork EnvironmentOffice-based role with frequent phone and computer useRegular collaboration with Sales, Marketing, Customer Service, Warehouse, Engineering, and Operations teams across both companies
