Part time jobAbout the CompanyWe are a full facility management company seeking a highly organized and proactive Operations coordinator / Project Manager to support company leadership and help improve operational efficiency across the organization.About the RoleThis hybrid role will initially focus heavily on executive support, project coordination, process documentation, and operational organization. Over time, there is strong potential for the role to evolve into broader operational leadership and business development support as the company continues to scale. The ideal candidate is highly detail-oriented, resourceful, adaptable, and capable of balancing administrative support with project management responsibilities in a fast-paced environment. This individual will work closely with company leadership and become a key operational partner supporting both day-to-day execution and long-term growth initiatives.ResponsibilitiesExecutive Assistant FunctionsManage calendars and scheduling coordination for company leadership.Organize meetings, appointments, and internal communications.Handle email management and correspondence via Outlook.Provide general administrative support to leadership and operations teams.Support executive prioritization and workflow management.Project ManagementUtilize Monday.com to track projects, deadlines, and deliverables.Coordinate project timelines and maintain operational continuity.Communicate with internal teams to ensure accountability and task completion.Assist with project follow-up, reporting, and workflow organization.Documentation & Process ImprovementCreate and maintain Standard Operating Procedures (SOPs).Develop onboarding and training documentation for internal teams.Document operational processes across departments.Identify opportunities to improve workflows and operational efficiency.Additional ResponsibilitiesOrganize and maintain documentation within Google Drive.Support payroll coordination through iSolved.Assist with internal communication management via TextLine.Support Keybox system coordination and management.Handle miscellaneous operational and administrative tasks as needed.QualificationsMinimum 3–5 years of experience in project management, executive assistance, operations coordination, or similar administrative roles.Fluent English communication skills with clear diction and professionalism.Strong organizational and multitasking abilities.Experience with:Monday.comMicrosoft Office Suite (Excel, Outlook, Word, PowerPoint)Google Drive and cloud-based file managementCalendar and email managementAbility to quickly learn new software platforms including iSolved, TextLine, and Keybox systems.Strong attention to detail and follow-through.Ability to work independently and proactively in a remote environment.High level of discretion and professionalism handling sensitive business information.Preferred SkillsExcellent communication and interpersonal skills.Warm, approachable, and professional demeanor.Strong problem-solving and critical-thinking abilities.Highly proactive and self-motivated.Adaptable and comfortable with evolving responsibilities.Strong sense of ownership and accountability.Ability to build strong working relationships with leadership and teams.
