Administrative Operations Assistant

If so, this may be the job for you. Our nonprofit organization, Reid Saunders Association, is seeking an administrative professional to work full time in Operations. Ultimately, a successful Operations Assistant should assist in ensuring the efficient and smooth day-to-day operation of our office. General Job Description: Performs a broad spectrum of administrative and project tasks to facilitate the efficient operation of the organization. Primary duty is to provide coverage for the front desk and the Accounts Receivable Specialist. Provides administrative support to the Operations Director as needed. Status: non-exempt Supervision: none Impact of Work: Duties contribute to the efficiency and effectiveness of day-to-day operations for RSA, allowing the Operations Department to increase productivity and function independently. Job Duties & Responsibilities: · Serves as primary backup for reception coverage (lunch and breaks). This includes answering phones, routing calls, taking messages, greeting visitors, signing for deliveries, and additional duties when full-day coverage is needed. · Serves as primary backup for the Accounts Receivable Specialist when full-day coverage is needed. This includes basic processing of accounts receivable, processing incoming and outgoing mail, and preparing/disseminating deposit reports. · Serves as required secondary viewer for opening all incoming mail and verifying all funds received and verifying totals in each deposit category. · Manages the process for all mass mailings, including newsletters, appeals, calendars, and Christmas cards. Works collaboratively with the Development Department and the USPS Bulk Mail Entry unit, to process nonprofit standard and flat mail pieces. · Ensures NCOA status is active, or resolves issues, to allow lower-cost bulk mail prices. · Coordinates volunteers for all mass mailing projects and other office needs. Maintains good relationships and contacts volunteers on a regular basis. · Ensures volunteers track hours on log sheets and that data is recorded in the database for tax reporting purposes. Uses the database to retrieve and record information related to volunteers, donors, mailing projects, etc. · Provides general clerical and administrative support for the Operations Director. · Reconciles credit card statements and submits documentation for Operations Director. Resolves any discrepancies and gathers missing information. · Schedules Operations meetings, any employee meetings with the Operations Director, and AAP/PA meetings. · Prepares meeting areas for Operations Department meetings, including purchase of food and supplies, meeting room setup, technology setup (if needed), and post meeting cleanup. · Reviews office procedures and Operations desk manuals for effectiveness and makes recommendations for improvements. · Verifies envelope stock and orders as needed for year-end tax statement mailing. · Attends and participates in organization-wide meetings, Operations team meetings, and regular meetings with the Operations Director. · Other duties as assigned. Qualifications: Is a Christ-follower in agreement with the RSA Statement of Faith Is responsible, flexible, and dependable · Any combination of experience and education equivalent to one year of experience in administrative and/or support work · Knowledge/experience in use of standard office equipment · Expert attention to detail and accuracy · Expert communication skills, both written and verbal · Proficient in Microsoft Office Suite or similar software · Proficient organizational and time management skills : · Ability to collaborate with team members from other Departments · Ability to learn new tasks and work methods · Ability to meet goals and deadlines · Ability to work with some supervision Working Conditions: · Office environment · Physical requirements of sitting, standing, and light lifting · Work schedule is stable and does not fluctuate · Limited travel · Driver’s license and consistent access to a vehicle required Job Type: Full-time Benefits: Paid time off Schedule: 8 hour shift Monday to Friday People with a criminal record are encouraged to apply Work Location: In person
