Scheduling Coordinator (ABA Services)We are seeking a highly organized and proactive Scheduling Coordinator to join our team in an Applied Behavior Analysis (ABA) setting. In this role, you will be responsible for developing, maintaining, and optimizing schedules for both clients and staff to ensure consistent, high-quality service delivery.You’ll serve as a key point of contact for families, clinical staff, and leadership—helping balance staffing needs, resolve scheduling challenges, and support smooth day-to-day operations.Key ResponsibilitiesScheduling & CoordinationCreate, maintain, and adjust client and staff schedules to ensure full coverage of therapy sessionsMatch Behavior Technicians (BTs)/Registered Behavior Technicians (RBTs) with clients based on availability, location, and skillsetProactively address scheduling conflicts, cancellations, and last-minute changesCommunicate schedule updates clearly and promptly to staff and familiesPartner with clinical leadership to maintain appropriate staffing ratiosCommunication & Relationship ManagementServe as the primary point of contact for scheduling-related questionsProvide clear, professional communication regarding changes and expectationsBuild and maintain strong relationships with families to support continuity of careAttendance & Policy OversightMonitor employee attendance, punctuality, and adherence to schedulesTrack trends in attendance and identify patterns of concernEnforce attendance policies consistently and escalate issues when neededCollaborate with HR and leadership on follow-up actionsTime-Off ManagementReview and approve or deny PTO and sick time requests based on staffing needsEnsure adequate coverage for all approved absencesMaintain accurate records of time-off and schedule adjustmentsOperational SupportCommunicate staffing gaps and coverage needs to clinical teams and leadershipAssist with onboarding schedules and initial caseload assignments for new hiresContribute to process improvements that enhance scheduling efficiencyData & Systems ManagementUtilize scheduling and HR systems (e.g., CentralReach, Rippling) to maintain accurate recordsGenerate reports on attendance, staffing trends, and scheduling performanceEnsure all data is current and compliant with company standardsQualificationsRequiredHigh school diploma or equivalent (Associate’s or Bachelor’s degree preferred)1–3 years of scheduling, administrative, or operations experience (healthcare or ABA preferred)Strong organizational and multitasking skills in a fast-paced environmentExcellent communication and interpersonal skillsAbility to problem-solve quickly and manage competing prioritiesPreferredExperience in ABA or healthcare schedulingFamiliarity with platforms such as CentralReachKnowledge of attendance policies and workforce management practicesCore CompetenciesAttention to detail and accuracyStrong time management and prioritizationEffective problem-solving and conflict resolutionProfessional communication with both families and staffCollaborative mindset across teamsThis is a great opportunity for someone who thrives in a fast-paced environment and enjoys bringing structure and clarity to complex scheduling needs while making a meaningful impact on client care.
